Waitlist applications from expecting parents
Parents call about infant care before the baby is born, often at nap time when the director is in a room. Every one of them leaves on the right list, with a tour booked, and nobody waits for a callback that never comes.
A parent calls about a space, often a year before they need it.
Takes the application, explains the age groups and fees, books a tour.
A complete waitlist entry with start date, days and siblings, and a tour on the calendar.
How it works
- Answers in the centre's name
Warm and patient, even at 12:30 when every educator is settling cots. The director stays with the children.
- Places the child by age
Due date or birthday sets the group: infant, toddler or preschool. She tells the parent which room that would be and when the child ages up.
- Takes the application
Desired start month, full or part time, which days, siblings already enrolled, and how to reach both parents. Siblings are flagged, since most centres place them first.
- Answers the fee questions
The centre's daily rate under the reduced-fee program, what's included, meals and diapers, from the fee sheet. She never guesses a fee that isn't on it.
- Books the tour
Two open tour times, set outside drop-off and pickup, and a text with the address, parking and what to bring.
- Sets honest expectations
She says where infant waits usually sit at this centre, as the director has described them, and that the centre calls when a space opens.
Example call
- CustomerHi, I'm due in March and I'm trying to get on lists. Do you take infants?
- AI agentCongratulations! We do, in the Ladybug infant room. When would you like care to start?
- CustomerMy leave ends the next March, so around then. Full time.
- AI agentThat lines up well with our infant intake. Do you have other children here already?
- CustomerNo, this is our first.
- AI agentThen I'll add you to the infant list for next March, full time, five days. Would you like to see the centre? I have Tuesday at 10:15 or Thursday at 3:30, after nap.
- CustomerThursday, please.
- AI agentThursday at 3:30 with Ms. Aubin. I'll text you the address and parking, and a copy of the fee sheet so you can read it at home.
After the call: The waitlist shows a new infant entry for next March, full time, with both parents' numbers. Ms. Aubin has the Thursday tour, and the parent has the fee sheet by text.

Questions
Will it promise a space?
No. It adds the child to the list and explains how the centre offers spaces. Offers come only when a space actually opens.
How does it handle siblings?
It asks every caller whether a brother or sister is already enrolled and flags it on the application, so your sibling priority is applied.
Can it explain the reduced-fee program?
It explains your centre's rates and what parents pay, in the words your director approved. Subsidy questions it can't answer go to the director as a message.
What about French-speaking parents?
It answers in French when the parent prefers, and the application lands in the same list in English for your staff.
