Inbound: the customer calls

Absences and late arrivals logged before first period

From 7:30 to 8:30 the front office is signing in late students and handing over forgotten lunches. Every absence and late call is answered and marked, and teachers see it before attendance.

When it starts

A parent calls to report an absence, a late arrival or an early pickup.

What the agent does

Marks attendance, passes messages to teachers, routes urgent concerns.

What your team gets

An accurate attendance list and messages on the right teacher's desk.

How it works

  1. Answers the rush

Every call between drop-off and the first bell, as many at once as come in.

  2. Confirms the student

Name, grade and homeroom, matched to the parent calling.

  3. Marks the reason

Ill, appointment, family travel, late arrival with the expected time, or early dismissal with who's picking up.

  4. Passes messages

"Please tell Mr. Chen she'll miss the chemistry quiz." The note goes to that teacher.

  5. Puts urgent calls through

A worry about a child's safety or wellbeing goes straight to the principal or vice-principal as a warm transfer.

  6. Signs out early pickups

The office has the time and the name of the authorized adult, ready at the desk.

Example call

  1. CustomerHi, it's Paul Bergeron, Félix's dad, grade nine. He'll be late this morning, he has an orthodontist appointment.
  2. AI agentThanks, Mr. Bergeron. About what time will he arrive?
  3. CustomerAround 10:30. He'll miss math, he has a test.
  4. AI agentI've marked Félix late for an appointment, arriving about 10:30, and I'll let Ms. Kowalski know he'll miss the math test so she can arrange a time to write it.
  5. CustomerPerfect, thank you.
  6. AI agentHe just needs to sign in at the front office when he arrives. Have a good morning.

After the call: Félix shows as late, appointment, arriving 10:30. Ms. Kowalski has a note about the missed math test, and the front office is expecting him.

Questions

Can parents call before school opens?

Yes. Calls at 6:30 are marked and waiting for the front office.

What about boarding students?

It can take calls from parents abroad at any hour and pass them to residence staff the way you set.

Will it share information about a student?

Only with a parent or guardian on file, and only what you decide. Anything else is a message for the office.
