Outbound: the agent calls

Tonight's sessions confirmed, no-shows rebooked

A tutor sitting in an empty online room for half an hour is paid time lost. Students get a reminder after school, and when someone doesn't show, the parent gets a call within ten minutes and a new time.

When it starts

A session today, or a student ten minutes late with no word.

What the agent does

Texts a reminder, calls the parent on a no-show, rebooks the session.

What your team gets

Fewer empty sessions and a rebooked time when one happens anyway.

How it works

  1. Reminds after school

A text to the student and parent at 3:30 with the time, tutor and room or meeting link.

  2. Watches the start

If the tutor marks the student absent ten minutes in, the agent calls the parent.

  3. Checks in kindly

"Just making sure Mia's okay." Often she forgot, or the bus was late.

  4. Saves the session

If the student can still log in, the tutor is told to wait. If not, two new times with the same tutor.

  5. Applies the policy

No-show charges follow the centre's written policy, read as written.

  6. Shows the pattern

Students who miss often show up on the director's weekly list.

Example call

  1. AI agentHi, it's Emma from Northside Tutoring. Rohan's session with Ms. Diaz started at 6, and he hasn't logged in yet. Is everything okay?
  2. CustomerOh no, he's at his friend's. He totally forgot.
  3. AI agentThat happens. Ms. Diaz can see him tomorrow at 7 or Saturday at 10. Would either work?
  4. CustomerSaturday at 10.
  5. AI agentSaturday at 10 it is. I'll text you both, and I'll send Rohan a reminder Friday night too.

After the call: Ms. Diaz is told Rohan isn't coming and has her evening back. The session moves to Saturday at 10, and Rohan gets a Friday reminder.

What your team gets

  • Reminders to students and parents every session day
  • No-shows called within minutes, not discovered at billing
  • Missed sessions rebooked with the same tutor
  • Tutors told quickly so they can use the time
  • A weekly list of students who miss often
Set up with you: The team sets up a connection to your tutoring software for today's sessions and attendance, sets the reminder times, and loads your no-show policy.

Questions

Text or call?

Reminders go by text. A no-show gets a call, then a text if nobody answers.

Does it call the student or the parent?

Whoever you choose. Most centres text the student and call the parent.

Is the missed session charged?

That follows your written no-show policy. The agent reads it and notes the missed session for billing.
