Inbound: the customer calls

First calls matched to the right therapist

Most people put off calling a therapist for weeks. When they finally do, at lunch in a parked car or at 9 at night, someone kind answers, helps them find a fit, and books the first conversation.

When it starts

Someone calls the practice for the first time, often after hours or between meetings.

What the agent does

Listens, asks a few gentle questions, offers two therapists who fit, books the intake.

What your team gets

The intake on the therapist's calendar, with the reason in the caller's own words.

How it works

  1. Answers softly

In the practice's name, slowly, with no menu. A caller who goes quiet is given time instead of being rushed toward a booking.

  2. Asks only what it needs

What brings them in, in a sentence or two, whether it's for them, a couple or a teenager, and in person or video. Nothing more than the booking needs.

  3. Offers a real fit

Reads the focus areas, ages, approaches and languages you list for each therapist, and names the two who match, with their next open intake times.

  4. Answers the money questions

The session fee, sliding scale spots, and each therapist's designation, so the caller knows what their receipt will show for their benefits plan.

  5. Books the intake

On the therapist's real calendar, with a text holding the time, the address or video link, and the intake form.

  6. Briefs the therapist

A short note with the caller's first name, why they called and any fee request, so the first session doesn't start from zero.

Example call

  1. CustomerHi. Um, I've never called a therapist before. I don't really know what I need.
  2. AI agentThat's okay, most people don't. You're at Harbourview Counselling, I'm Emma. If you're comfortable, what's been going on, in a sentence or two?
  3. CustomerMy marriage, I guess. We fight about everything since the baby. My husband might come too.
  4. AI agentThank you for telling me. Two of our therapists work with couples who've just had a baby: Noor, a registered psychotherapist, and Gabriel, a social worker. Noor has Tuesday at 7 p.m. by video, and Gabriel has Saturday at 10 in the Halifax office.
  5. CustomerVideo would be easier with the baby. What does it cost?
  6. AI agentNoor's couples sessions are 170 dollars for 75 minutes, and her receipts show her psychotherapy registration. Shall I book Tuesday at 7?
  7. CustomerYes, please.
  8. AI agentDone. I'll text you the video link and a short form for each of you. If tonight or any night gets really hard, 9-8-8 is there to call or text.

After the call: Noor sees a Tuesday 7 p.m. couples intake by video, with "fighting since the baby, husband may join" in the caller's words. The caller has the link and two intake forms by text.

What your team gets

  • Intakes on the right therapist's calendar, by focus area and format
  • The reason for reaching out, in the caller's words, before the first session
  • Sliding scale requests flagged for the clinical director
  • Callers who weren't ready to book kept as an enquiry with a callback time
  • Recording, transcript and summary in the portal
Set up with you: The team sets up a connection to your Jane, Owl Practice, SimplePractice or Practice Better calendars, loads each therapist's focus areas, ages, languages, fees and designation, and sets which intakes go to whom. You hear test calls before it goes live.

Questions

Will it feel cold to someone who's struggling?

It's set up to go slowly, say back what it heard, and never push a booking. A caller who just wants to know how therapy works can learn that and hang up with nothing booked.

How does it pick a therapist?

From the focus areas, ages, approaches and languages you give for each therapist. It offers the ones that fit and lets the caller choose, or books with the clinician you route new intakes to.

Does it give advice about what they're going through?

No. It books the conversation with a therapist. If something sounds urgent, it shares 9-8-8 and puts them through to the clinician on call.

Can it handle a parent calling for a teenager?

Yes. It asks the teen's age, books with a therapist who sees youth, and follows your rules on who attends the intake.
