Outbound: the agent calls

Six-month hygiene recall booked by phone

Recall is the lifeblood of a dental office, and a postcard doesn't book anyone. The agent calls each patient as their cleaning comes due, books them with their usual hygienist, and moves the whole family in one call.

When it starts

A patient's recall interval comes due, or passes with no appointment.

What the agent does

Calls to book the cleaning and exam with the usual hygienist, books family members together.

What your team gets

Recall appointments in the hygiene columns and an overdue list that keeps getting shorter.

How it works

  1. Finds who is due

Every patient whose recall interval is coming up with nothing booked: six months, four months for perio, three for a high-risk patient.

  2. Groups the family

Parents and kids on the same account are called together, so one call books four cleanings.

  3. Books the usual hygienist

Two openings with the hygienist they always see, at the time of day they usually come, with X-rays and fluoride noted if they're due.

  4. Checks the details

Same phone, same address, same dental plan? A new job or new insurer is taken down for the desk.

  5. Tries again kindly

No answer: a short voicemail and a text with a booking reply. Then another try on the schedule you set.

  6. Respects a stop

A patient who moved away or asks not to be called is marked, and the desk is told.

Example call

  1. AI agentHi Raj, it's Emma from Lakehead Family Dental. You and the girls are due for cleanings with Meg. Want me to set all three up?
  2. CustomerOh, yeah, it's been a while. After school would be best.
  3. AI agentMeg has Thursday the 13th at 3:30, 4:30 and 5:30, one after the other. Would that work?
  4. CustomerThat's perfect, actually.
  5. AI agentBooked, all three. Same dental plan through your work?
  6. CustomerNope, I switched jobs. I'll text you the new card.
  7. AI agentPerfect, I'll send you a text you can reply to with a photo. See you on the 13th.

After the call: Three recall visits sit in Meg's column on the 13th, the girls' fluoride is noted as due, and the desk has a flag to update Raj's insurance when his photo comes in.

What your team gets

  • Recall cleanings and exams booked with each patient's usual hygienist
  • Families booked together in one call
  • New insurance and contact details flagged for the desk
  • Voicemail and text tries logged on the chart
  • A shrinking overdue list, by hygienist
Set up with you: The team sets up a connection to your Dentrix, ABELDent, Tracker, Curve Dental or ClearDent recall list and hygiene schedule, and sets with you the intervals, the calling hours, how many tries, and when a text goes instead of a call.

Questions

Does it replace our recall texts?

It can work alongside them. Many offices text first and have her call the patients who don't book.

Can she handle perio patients on a shorter recall?

Yes. She uses the interval on each chart, whether that's three, four or six months.

What if a patient wants a different hygienist?

She books whoever they ask for, as long as that hygienist sees that kind of appointment.
