Outbound: the agent calls

Unscheduled crowns and fillings called before benefits reset

Every office has a drawer of treatment plans nobody booked: the crown, the two fillings, the deep cleaning. In the fall, with benefits about to reset, the agent calls each patient with their own estimate and books the chair time.

When it starts

Treatment diagnosed and estimated but not scheduled, sorted by value and plan year.

What the agent does

Calls with the tooth and the estimate on file, answers timing questions, books the appointment.

What your team gets

Booked treatment, a callback date for every "not yet" and a list of what was booked.

How it works

  1. Pulls the list

Each week: treatment presented but never booked, sorted by the value and by how much of the patient's annual maximum is left.

  2. Calls with their own plan

"Dr. Patel recommended a crown on your upper right molar in June." The patient hears about their own tooth, not a sales line.

  3. Reads the estimate

The estimate your office prepared, what the plan was expected to pay and the patient's part. She never makes up a number.

  4. Explains the timing

If your office uses it, the plan-year reminder: many plans renew in January, so booking before December uses this year's maximum.

  5. Books the chair time

Two openings with the right dentist and the right length, a crown prep and its seat a few weeks apart if your lab needs it.

  6. Not now? Asks when

She notes a callback date, and passes any question about the treatment itself to the treatment coordinator.

Example call

  1. AI agentHi Mrs. Fournier, it's Emma from Lakehead Family Dental. Is now an okay minute? It's about the crown Dr. Patel recommended in June.
  2. CustomerOh, right. I kept meaning to call.
  3. AI agentThat's what I'm here for. The estimate was 1,240 dollars, and your plan was expected to pay about 620 of that. Your plan renews in January, so some patients like to get it done before then.
  4. CustomerThat makes sense. What do you have?
  5. AI agentDr. Patel has Tuesday, December 2 at 1:30 for the prep, about ninety minutes, and then the crown goes on about two weeks later.
  6. CustomerDecember 2 works.
  7. AI agentYou're booked. I'll pencil in the 16th for the crown, and we'll confirm it once the lab sends it back. I'll text you both dates.

After the call: The crown prep is booked December 2 with the estimate attached, a seat visit is held for the 16th pending the lab, and the treatment coordinator's report shows it as booked treatment.

What your team gets

  • Unscheduled treatment booked, with the original estimate
  • Patients called while their annual maximum is still there
  • Prep and seat visits booked around your lab's turnaround
  • Treatment questions passed to the treatment coordinator
  • A weekly report of value called and value booked
Set up with you: The team sets up a connection to your Dentrix, ABELDent, Tracker, Curve Dental or ClearDent treatment plans, estimates and benefit details, and sets with your treatment coordinator which plans to call about, how long to wait after the exam, and whether to mention the plan year.

Questions

Will she pressure patients?

No. She calls once about treatment their own dentist already recommended, with the estimate they were given. If they say not now, she asks when to call back.

Can she quote a different price?

No. She reads the estimate on file. A changed plan or a new question goes to the treatment coordinator.

Does she know how much of their maximum is left?

She reads what your office has on file for the plan year. A patient who wants it checked is told the office will send a predetermination.

Can she answer questions about the procedure?

Simple ones, like how long it takes and how many visits. Anything clinical goes to the dentist or treatment coordinator.
