Inbound: the customer calls

Direct billing details taken before the client arrives

"Do you bill my insurance?" is the call your front desk answers most. The agent explains which plans you bill, takes the details before the visit, and texts a lost receipt back the same minute.

When it starts

A client asks about direct billing, a receipt, or why a claim came back.

What the agent does

Explains your billing rules, takes plan details for the file, and resends receipts.

What your team gets

Plan details on the client's file before they walk in, and fewer billing calls at the desk.

How it works

  1. Says which plans you bill

From your list: Sun Life, Manulife, Green Shield, Canada Life, Blue Cross and the rest. If a plan isn't on it, it says the client pays and claims with the receipt.

  2. Takes the details

Plan name, policy and member numbers, and the plan member's name and birth date when it's a spouse's plan. Read back to the caller to be sure.

  3. Puts them on the file

The details go on the client's profile so the desk only checks the card at check-in instead of typing it in.

  4. Explains the receipt

What it shows: the RMT's name and registration number, the date, the length and the amount. The things a plan asks for.

  5. Resends a lost one

A client who needs last March's receipt for a claim gets it texted or emailed once the agent confirms who they are.

  6. Hands off a declined claim

Why a plan paid less is a question for the plan or your billing person. It takes the details and passes them on, with a time to call back.

Example call

  1. CustomerHi, I'm booked Thursday with Marisol. Can you bill my husband's Green Shield plan directly?
  2. AI agentYes, we direct-bill Green Shield. I'll need his name and birth date, the policy number and his member number. Do you have the card handy?
  3. CustomerHang on. ... Okay, it's Daniel Fortin, July 3rd, 1984.
  4. AI agentThanks. And the numbers on the card?
  5. CustomerPolicy 20193, member 884215607.
  6. AI agentLet me read those back: policy 20193, member 884215607, for Daniel Fortin. All on your file now. Bring the card Thursday and you're set.
  7. CustomerGreat. Also, can you send me my receipts from last year? I lost them.
  8. AI agentOf course. I'll email the four from last year to the address on your file right now.

After the call: Her file now carries Daniel's Green Shield plan, ready for Thursday's direct bill. Four receipts from last year are emailed, each showing the treating RMT's registration number, and the desk has nothing to type at check-in.

What your team gets

  • Plan, policy and member numbers on the file before the visit
  • Lost receipts resent without a staff member searching for them
  • Declined-claim questions passed to billing with the details
  • Fewer billing calls interrupting check-in
Set up with you: The team sets up a connection to your clinic software and TELUS eClaims so the agent can save plan details and resend receipts, and loads the plans you direct-bill in your words.

Questions

Will it tell a client how much coverage they have left?

No. It explains how your billing works and suggests they check their remaining amount with their plan. Plans decide what they pay.

Can it handle a spouse's plan or two plans?

Yes. It takes the plan member's details for each plan and notes which is first, so the desk bills them in the right order.

Does it send receipts to anyone who asks?

Only after it confirms the caller is the client, by name, birth date and the phone or email on file.
