Outbound: the agent calls

Rebooking calls when a regular's next session is due

Your best clients come every three or four weeks, until a busy month makes them forget. The agent notices who's past their usual gap and calls with their own therapist's openings.

When it starts

A regular is past their usual gap between sessions with nothing booked.

What the agent does

Calls with their usual RMT's openings, books it, or asks when to try again.

What your team gets

Regulars kept on their rhythm, and a list of who has drifted.

How it works

  1. Spots the gap

Each night it looks for clients who usually book every few weeks and have passed that gap with no session ahead.

  2. Checks their therapist

It finds their usual RMT's next openings at the times that client tends to book, like Tuesday evenings or Saturday mornings.

  3. Calls like the desk would

A short, friendly call: their therapist has time, would they like it? No sales script, no pressure.

  4. Books it

Same length and technique as their last few visits unless they ask for a change, with a text confirmation.

  5. Respects a no

Away for the summer or feeling fine? It asks when to check back and notes it. A client who says stop calling is never called again.

  6. Shows the drift

The owner sees which regulars have gone quiet and whose book has room, so slow weeks are spotted early.

Example call

  1. AI agentHi Mr. Bhatt, it's Emma from Kingsway Therapeutic Massage. Is now an okay time? You usually see Lena every month, and I noticed nothing's booked.
  2. CustomerOh, right. It's been a crazy few weeks at work.
  3. AI agentThat happens. Lena has Thursday at 6 or next Tuesday at 6:30, for the usual 60 minutes. Either one work?
  4. CustomerThursday. My shoulders are already telling me.
  5. AI agentThursday at 6 with Lena, 60 minutes. Want me to book the one after that too, four weeks out, so it's done?
  6. CustomerSure, why not.
  7. AI agentBoth are in. I'll text you the two dates now.

After the call: Lena's book shows Mr. Bhatt on Thursday at 6 and again four weeks later, and he's off the drifted list. The owner's weekly report counts two sessions booked from one call.

What your team gets

  • Regulars rebooked with their own therapist
  • Next visits booked ahead when the client wants it
  • Callback dates for clients who said not now
  • A drifted-clients list for the owner
  • Sessions and revenue booked from rebooking calls
Set up with you: The team sets up a connection to your clinic schedule and client history, sets which clients count as regulars, how long a gap means a call, and the hours calls go out.

Questions

Won't regulars find the call annoying?

It calls once, when they're past their usual gap, with their own therapist's times. If they say not now, it asks when to check back.

Can it book a series ahead?

Yes. If the client likes, it books the next visit or two at their usual gap.

Does it call clients who stopped coming because of a problem?

No. Anyone marked as a complaint or do-not-call is left off, and complaints go to the owner.
