Outbound: the agent calls

Unused massage coverage booked before the plan year ends

Many plans reset on January 1, and a lot of clients find out on December 20th, when every therapist is booked. The agent calls them in November, while there's still room.

When it starts

The plan year is ending and a client with direct billing on file has had few sessions this year.

What the agent does

Reminds them coverage often resets, offers sessions while there's room, books them.

What your team gets

December books filled early, instead of a scramble the week before Christmas.

How it works

  1. Builds the list in the fall

Clients with a plan on file and fewer sessions this year than usual. Your rules pick who is on it and when the calls start.

  2. Calls with a gentle reminder

Plans often reset in January, so it's worth checking what's left. It never says how much they have; that's between them and their plan.

  3. Offers room before the rush

Openings across your RMTs through November and December, starting with their usual therapist.

  4. Books one or a few

Some clients want two or three sessions before the year ends. It books them spaced out, not all in one week.

  5. Mentions gift cards when asked

A client shopping for someone else hears how your gift cards work and gets the link by text.

  6. Reports the season

Calls made, sessions booked and how full each therapist is through December.

Example call

  1. AI agentHi Shauna, it's Emma from Bluewater RMT in Sarnia. Quick one: a lot of benefit plans reset in January, and I see we bill your Manulife plan. Want to get a session or two in before then?
  2. CustomerOh, good thinking. I haven't been since the spring.
  3. AI agentTheo has openings now, before December fills up. How about Wednesday the 18th at 4, and another one early December?
  4. CustomerYes, both. Is it still 60 minutes?
  5. AI agentSame as before, 60 minutes of Swedish with Theo. The second one could be Thursday, December 3rd at 4. Does that work?
  6. CustomerPerfect.
  7. AI agentBoth booked and billed to your Manulife like last time. Do check with them how much you have left. I'll text you both dates.

After the call: Theo's book shows Shauna twice before year end, both set to direct-bill Manulife. The season report counts the sessions, and December's last week still has openings for new callers.

What your team gets

  • Sessions booked in November and early December, before the rush
  • Clients reminded without anyone quoting their coverage
  • Bookings spaced out, not crammed into one week
  • A season report of calls, bookings and each therapist's book
Set up with you: The team sets up a connection to your clinic schedule and billing records, sets which clients get the call and from which date, and puts the reminder in your words.

Questions

Does it check how much coverage a client has?

No. It reminds them that plans often reset and suggests they check with their plan. It books the sessions; the plan decides what it pays.

When do the calls start?

When you choose. Many clinics start in early November so December isn't a scramble.

Can it skip clients who come often anyway?

Yes. Your rules decide, such as only clients with fewer than a set number of sessions this year.
