Flu and COVID shot clinic bookings each fall
Every October the clinic runs Saturday flu clinics and reception spends weeks on the phone filling them. Now the agent calls the patients your doctors want protected first, books each one into a five-minute slot, and fills the Saturdays.
Your fall shot clinics open, and the doctors' list of patients to call first is ready.
Calls seniors and higher-risk patients first, books shot slots, answers when, where and what to bring.
Full Saturday clinics, the patients who matter most booked first, and a list of who said no.
How it works
- Starts with the right list
Patients 65 and over, people with diabetes, heart or lung conditions, and pregnant patients, in the order your doctors choose.
- Calls with the dates
"Our flu clinics are Saturday mornings in October and November." Then two open five-minute slots.
- Books couples together
Two seniors at the same address are booked back to back, so they come once.
- Answers the simple questions
Which shots are offered, how long it takes, wearing short sleeves, bringing the health card. Questions about whether to have it go to the nurse.
- Opens it to everyone
Once the priority list is done, inbound callers and the rest of the roster are booked into what's left.
- Counts the results
Booked, already had it at the pharmacy, declined. Your doctors see the totals by roster.
Example call
- AI agentHi Mr. Desjardins, it's Emma from Riverside Family Health. Our flu shot clinics are on Saturday mornings this month. Would you and your wife like a spot?
- CustomerOh yes, we get it every year. Is the COVID one there too?
- AI agentIt is, both at the same visit if you like. I have Saturday the 25th at 9:10 and 9:15 for the two of you.
- CustomerThat's good. Both shots for both of us.
- AI agentYou're booked, both shots for each of you. Wear short sleeves, bring your health cards, and plan to stay about fifteen minutes after. I'll text you the confirmation.
After the call: Two slots on Saturday the 25th are booked for the couple with both shots noted, the clinic's vaccine count is updated, and the doctors' priority list shows two more patients booked.
What your team gets
- Priority patients called first, in your doctors' order
- Couples and families booked back to back
- Shot clinics filled without reception on the phone
- Patients who had it elsewhere marked on the chart
- Totals by roster for each doctor
Questions
Can she tell someone whether they should get the shot?
No. She books the shot and answers the practical questions. Whether a shot is right for them is a question for the nurse or doctor.
What if they already had it at the pharmacy?
She thanks them and marks it on the chart, so the doctor knows and they aren't called again.
Can patients call in to book too?
Yes. Once the priority list is done, anyone on your roster can call and book what's left.
