Inbound: the customer calls

The 8 a.m. phone rush and same-day sick visits

At 8:00 sharp forty people call for the same twelve same-day spots, and most hear a busy signal. Now every one of them is answered at once, booked into a same-day slot or told when the walk-in opens, and nobody redials for an hour.

When it starts

The lines open, or a patient calls any time with something that needs seeing today.

What the agent does

Answers many calls at once, books same-day slots by the doctor's rules, gives walk-in hours, screens for emergencies.

What your team gets

A same-day schedule filled by 8:15 and reception free for the people in the waiting room.

How it works

  1. Answers everyone at once

Forty calls at 8:00 are forty conversations, not one call and a busy signal. Nobody hears "the mailbox is full".

  2. Screens for emergencies first

Chest pain, trouble breathing, signs of a stroke, a child who's hard to wake. The caller is told to call 911 before anything else.

  3. Finds out what's going on

Who the patient is, their health card, their family doctor here, and in plain words what's wrong. She never suggests a cause.

  4. Books by your rules

Same-day slots with the patient's own doctor first, then the doctor of the day. Phone or video visits where your doctors offer them.

  5. Walk-in, if that fits

Today's walk-in hours, how the line works, and what to bring: the health card, a list of medications.

  6. Keeps the desk free

Reception sees the day fill on the screen, and only calls that need a person come to them.

Example call

  1. AI agentGood morning, Riverside Family Health in Peterborough, this is Emma. How can I help?
  2. CustomerHi, my son's had an earache since last night and he's crying. Can Dr. Mensah see him today?
  3. AI agentI'm sorry he's sore. Can I get his name and health card number?
  4. CustomerLeo Brennan. It's 4521 ... ... ...
  5. AI agentThanks. Does he have a high fever, or is he very hard to wake?
  6. CustomerNo, he's awake, just miserable. Low fever.
  7. AI agentOkay. Dr. Mensah has a same-day spot at 11:40. Would that work?
  8. CustomerYes, thank you so much.
  9. AI agentLeo's booked at 11:40 with Dr. Mensah. Bring his health card. If he gets much worse before then, go to emergency.

After the call: Leo is in Dr. Mensah's 11:40 same-day slot with "earache since last night, low fever" noted, the call took under two minutes, and reception never picked up the phone.

What your team gets

  • Same-day slots booked with the patient's own doctor first
  • Emergency symptoms sent to 911 before anything else
  • The reason for the visit noted in the patient's words
  • Today's walk-in hours given from what reception updates
  • Reception free to check in the people in the room
Set up with you: The team sets up a connection to your OSCAR Pro, Accuro, PS Suite, Med Access or Juno EMR schedule, loads each doctor's same-day rules, your walk-in hours and the emergency questions your physicians wrote, and you hear test calls before it goes live.

Questions

Will she tell a parent what's wrong?

No. She asks what's happening, books the visit and never suggests a cause or treatment. Emergency symptoms are told to call 911.

Can she book only the patient's own doctor?

She follows your rules: the patient's own doctor first, then whoever you name, or the walk-in if that's how your clinic works.

What happens when the same-day spots are gone?

She says so kindly, gives the walk-in hours if you run one, and offers the next opening with their own doctor.

Can she handle French and other languages?

Yes. Patients can describe what's wrong in the language they're comfortable in, and she asks before she switches.
