Outbound: the agent calls

Annual eye exam recalls for patients who are due

Every patient leaves with "see you next year", and many never book it. The agent calls when they're due, with their own optometrist's openings, and fills the weeks that would have been quiet.

When it starts

A patient's recall date arrives: yearly for kids, seniors, diabetics and lens wearers, or on your schedule.

What the agent does

Calls with real openings, books the exam, and notes any new concerns for the doctor.

What your team gets

A fuller exam book, and a list of patients who said later or moved away.

How it works

  1. Builds the recall list

Patients whose recall date has come up, by your rules: yearly for children, seniors and patients with diabetes, every two years for other adults, or as the optometrist set.

  2. Calls with their doctor's times

Openings with the optometrist they saw, at the times they usually come, like Saturday mornings or after school.

  3. Asks what's changed

Headaches, trouble driving at night, new medication. It notes what the patient says for the optometrist, without comment.

  4. Books the family together

If others in the household are due too, it offers to book them in the same visit.

  5. Fills the quiet weeks

Recall calls go out first for the weeks with the most room, so slow stretches in February fill up.

  6. Keeps the list clean

Moved away, sees someone else, call in the fall. Each answer goes on the file so nobody is called twice for nothing.

Example call

  1. AI agentHi Mrs. Dubois, it's Emma from Lakehead Optometry in Thunder Bay. Dr. Morin asked to see you every year, and you're due. Can I find you a time?
  2. CustomerOh, is it that time already? Yes, please.
  3. AI agentShe has Wednesday the 10th at 10:20 or Friday the 12th at 1:40. Since it's a dilated exam, it's good to have someone drive you home.
  4. CustomerWednesday. My daughter can drive me. And I've noticed driving at night is harder lately.
  5. AI agentThanks for telling me, I've noted night driving for Dr. Morin. Is your husband due as well? I can book him right after you.
  6. CustomerYes, do that.
  7. AI agentBoth of you on Wednesday the 10th, from 10:20. I'll text the times and a reminder to bring your glasses and health cards.

After the call: Dr. Morin's book shows two exams back to back on the 10th, with "night driving harder" on Mrs. Dubois's file. Both are off the recall list, and the clinic's recall report counts two booked from one call.

What your team gets

  • Due patients booked with their usual optometrist
  • New concerns noted before the exam
  • Household members booked in the same visit
  • Quiet weeks filled first
  • A recall report of calls, bookings and patients who left
Set up with you: The team sets up a connection to your practice software for recall dates and the exam schedule, sets the recall rules with your optometrists, and the hours calls may go out.

Questions

How does it know who's due?

From the recall date on each file, set by your rules or the optometrist after the last exam.

Does it call every patient at once?

No. It paces calls to the room in your book, starting with the weeks that need filling.

What if a patient says they see someone else now?

It thanks them, marks the file, and they won't get recall calls again.
