Outbound: the agent calls

Contact lens reorders called before the last box runs out

A box of dailies runs out, and the wearer clicks "buy" on a website instead of calling you. The agent calls a couple of weeks before, places the order, and books the exam when the prescription is due.

When it starts

A wearer's last order should be running low, based on box count and wear schedule.

What the agent does

Calls to reorder, checks the prescription date, books the contact lens exam if it's due.

What your team gets

Reorders placed with the clinic instead of an online seller, and lapsed prescriptions booked in.

How it works

  1. Counts the boxes

From the last order: how many boxes, dailies or monthlies, and both eyes. It works out roughly when they'll run low.

  2. Checks the prescription

If the contact lens prescription is still current, the call is a reorder. If it's expired or close, it's also an exam booking.

  3. Calls ahead

A couple of weeks before they run out, so the order arrives in time. A text first if the wearer prefers.

  4. Places the order

Same lenses, same quantity, or a change they ask for. The price comes from your price list, and pickup or shipping as they choose.

  5. Books the exam if due

A contact lens exam with the optometrist before more lenses can be ordered, at a time that suits them.

  6. Marks the file

The order, the next reorder date and any "I've switched to glasses" so nobody calls about it again.

Example call

  1. AI agentHi Jordan, it's Emma from Clearview Eye Care in Kanata. Your six-month supply of dailies should be getting low. Want me to put in the next order?
  2. CustomerOh, yeah, I'm on my last box actually.
  3. AI agentGood timing. Your prescription is current until March, so I can order the same lenses, six months for both eyes. It's 412 dollars on our price list. Pickup or shipped to you?
  4. CustomerShipped, please. Same address.
  5. AI agentDone. They should arrive in about a week. Your exam's due in March, by the way. Want me to book it now while there's room?
  6. CustomerSure, an evening if you have one.
  7. AI agentDr. Patel has Tuesday, March 9th at 5:40. You're booked, and I'll text you both the order and the exam.

After the call: The order goes to the supplier with Jordan's lenses and shipping address, his next reorder date is set, and Dr. Patel's book shows a contact lens exam on March 9th.

What your team gets

  • Lens orders placed with the clinic before supply runs out
  • Expired prescriptions turned into booked exams
  • Next reorder dates set automatically
  • Wearers who switched to glasses or moved taken off the list
  • A monthly count of reorders and their value
Set up with you: The team sets up a connection to your practice software and your lens suppliers' ordering, loads your contact lens price list, and sets how early to call and whether to text first.

Questions

Will it order lenses on an expired prescription?

No. It checks the prescription date first. If it's expired, it books the exam, and the order waits for the optometrist.

Where do prices come from?

Only from your price list. It reads the price for that lens and supply, and never makes one up.

Can patients say text instead of call?

Yes. Each patient's preference is kept, and many clinics text first and call only if there's no reply.
