Unused physio benefits used before the plan year ends
November and December are when patients remember their physio coverage resets in January. The agent calls the ones with care left to do and coverage left to use, and books their visits before the calendar turns.
The fall, for patients with an unfinished plan or a recheck due and a plan year ending soon.
Calls with a friendly reminder, books the remaining visits before the year ends.
Booked December visits, a fuller schedule before the holidays, and a list of who said no.
How it works
- Builds the list
Patients with an unfinished plan, a recheck their physio recommended, or a recurring issue, whose plan year ends December 31.
- Calls with a reminder
"Many plans reset in January, so some patients like to finish their visits this year." Never a promise about what's left.
- Checks what they know
If the patient knows how much coverage they have left, she notes it. If not, she tells them how to check with their insurer's app or card.
- Books the visits
With their own physio, spread through November and December, before the holiday closures.
- Keeps it kind
A patient who is feeling fine is thanked and not called again this year.
Example call
- AI agentHi Mei, it's Emma from Lakeview Physiotherapy. Quick reminder call. Kyle had recommended a few more visits for your ankle, and a lot of plans reset in January. Would you like to book them before then?
- CustomerOh, good point. I think I have some coverage left.
- AI agentKyle has Wednesdays at 5:30 open through December. Would three visits on the 3rd, 10th and 17th work?
- CustomerYes, that works.
- AI agentAll three are booked. We're closed from the 24th to the 2nd, so you'll be done before the break. I'll text you the dates.
After the call: Three December visits are booked with Kyle, Mei's file shows "thinks she has coverage left", and December's quieter evenings are filling before the holiday closure.
What your team gets
- Remaining visits booked before the plan year ends
- December evenings filled before the holidays
- Patients told how to check their own coverage
- A do-not-call note for patients who are done
- A report of calls made and visits booked
Questions
Does she know how much coverage they have left?
No. She tells them plans often reset in January and how to check theirs. She never guesses at an amount.
Who does she call?
Only patients your physios marked with more visits recommended, or a recheck due, from the list you approve.
Is it a sales call?
It's a reminder about care their own physio already recommended. If they're feeling fine, she says that's great and lets them go.
