Inbound: the customer calls

Messages for residents and worried-family calls

Reception gets dozens of calls a day from families: a message for Mom, a question for dining, a bill. Each lands in the right place, and a daughter who can't reach her father is put through to a nurse.

When it starts

A family member or friend calls a resident, or about one.

What the agent does

Takes messages, routes to care, dining or billing, transfers worried callers to the care desk.

What your team gets

Messages in the reception log, and the care desk on the line when a family is worried.

How it works

  1. Finds the resident

By name or suite number, and only shares what you allow with callers listed as family on the file.

  2. Takes the message

"Tell Mom I'll pick her up at 10 for the eye doctor." Written down for reception to deliver, with a text when it's delivered.

  3. Routes the question

Medications and care to the nurses' station, a special diet to dining, a statement to the business office, each with a short summary.

  4. Puts worry through

If a family can't reach a resident and is worried, it warm-transfers to the care desk so staff can go and check.

  5. Handles after hours

Messages wait for the morning, care calls go to the nurse on shift, and anyone with an emergency is told to call 911.

  6. Signs in visitors

Families booking a visit or a guest meal get the time on the reception list and the door code instructions you allow.

Example call

  1. CustomerHi, I've been calling my mom in 214 all morning and she's not picking up. Gloria Pereira.
  2. AI agentI understand, that's worrying. I'm putting you through to the care desk now so someone can go and check on your mom. One moment.
  3. AI agent(to the care desk) Daughter of Gloria Pereira in 214, can't reach her by phone since morning. Putting her through.
  4. CustomerThank you.
  5. AI agentYou're connected with Joanne at the care desk now.

After the call: Joanne took the call with the summary, walked to 214, and found Gloria at the hairdresser on the main floor with her phone in her suite. The call and the outcome are in the reception log.

What your team gets

  • Messages for residents logged and marked delivered
  • Care, dining and billing questions sent to the right desk
  • Worried families on the line with the care desk in moments
  • Guest meals and visits on the reception list
  • Fewer calls stacked up at the front desk during move-ins and visiting hours
Set up with you: The team sets up a connection to your PointClickCare or Eldermark resident list and contacts, and sets who it puts through to for care, dining, billing and worried calls, by day and by night.

Questions

Will it tell a caller about a resident's health?

No. Health questions go to the nurses' station, and only family on the resident's file are put through.

Can families leave a message at night?

Yes. It's delivered in the morning, and anything urgent goes to the nurse on shift.

Can it put a call through to a resident's suite?

If you allow it, yes. If the resident doesn't answer and the caller is worried, it goes to the care desk instead.
