Outbound: the agent calls

Waitlist families called when a one-bedroom opens

A suite sits empty while marketing works down a waitlist one voicemail at a time. Now the families waiting for that suite type are called the day it opens, and the first ready one is booked to see it.

When it starts

A suite becomes available, or a move-out date is set.

What the agent does

Calls the families waiting for that suite type in your order, books a viewing.

What your team gets

A viewing booked, and the waitlist updated with everyone's answer.

How it works

  1. Sees the suite

A move-out date or a suite marked available, with its type, floor and the date it's ready.

  2. Finds who's waiting

Families on the waitlist for that suite type and care level, in your order: deposit paid, date added, or urgency.

  3. Calls with the facts

The suite, the floor, the view, the date it's ready and the monthly rate, so the family can decide on the call or after a viewing.

  4. Books the viewing

A time to see the suite with the marketing lead, soon, before the next family is called.

  5. Moves on fairly

A no, a not yet, or no answer by your deadline moves to the next family. Everyone's answer is kept.

  6. Keeps the list true

Families who moved elsewhere are taken off, and those still waiting hear roughly where they stand.

Example call

  1. AI agentHi Mrs. Tremblay, it's Emma from Willow Creek. You're on our waitlist for a one-bedroom for your father. One's just come open. Is now okay?
  2. CustomerOh! Yes, go ahead.
  3. AI agentIt's on the second floor facing the courtyard, ready on the 1st. It's 4,790 a month with meals and housekeeping. Would you like to come see it?
  4. CustomerYes, could Dad and I come tomorrow?
  5. AI agentDiane has 2 tomorrow, or 10 on Thursday.
  6. CustomerTomorrow at 2.
  7. AI agentYou're booked tomorrow at 2 with Diane. I'll text you the suite number and parking. We'll hold off calling the next family until you've seen it.

After the call: Diane has tomorrow at 2 to show suite 208 to the Tremblays. The waitlist shows them as viewing, and the next family is called only if they pass.

What your team gets

  • Open suites shown to waitlist families the day they open
  • Waitlist order followed and recorded
  • Viewings on the marketing calendar
  • A current waitlist, with families who moved elsewhere taken off
  • Days each suite sat empty, tracked
Set up with you: The team sets up a connection to your Yardi Senior Housing or PointClickCare suite list and your Sherpa or Enquire waitlist, and sets the calling order, how long each family has to decide, and the calling hours.

Questions

Does it hold the suite?

It books the viewing and pauses the list until the family decides, within the window you set. Holding the suite with a deposit is your team's step.

How does it pick who to call?

From your order: deposit paid first, date added, or care urgency your team flagged. It only calls families waiting for that suite type.

What if a family isn't ready yet?

It keeps them on the list, notes when they think they'll be ready, and calls the next family.
