Inbound: the customer calls

Respite and trial stays booked after a hospital stay

A father is leaving hospital but can't go straight home, or a wife caring for her husband needs two weeks off. The call is answered, the furnished suite is checked, and the care team is assessing within the day.

When it starts

A family needs a short stay: after a hospital stay, a caregiver's holiday, or to try the residence.

What the agent does

Checks furnished suites for the dates, explains the daily rate and care, books the pre-stay assessment.

What your team gets

An urgent note to marketing and care with the dates, the need and the hospital.

How it works

  1. Gets the dates

When the stay should start and end, and why: a discharge, a caregiver's holiday, or a trial before moving in.

  2. Checks the suites

Which furnished respite suites are free for those dates, from your availability list.

  3. Explains the stay

The daily rate, what's included, the care levels on offer, and what to bring, in your words.

  4. Learns the care need

Mobility, medications, memory, diet, and the hospital and discharge planner if there is one.

  5. Books the assessment

A pre-stay visit or call with your care manager, the soonest one open, so the suite is ready on the day.

  6. Flags it urgent

Marketing and care both get a text with the dates and the need. A stay starting within days rings the care manager.

Example call

  1. CustomerMy dad's at Guelph General after a fall. They want to discharge him Tuesday, but he can't go home alone yet.
  2. AI agentI'm sorry, that's a lot at once. We do short stays for just this. How long are you thinking he'd need?
  3. CustomerMaybe three weeks? Until he's steadier.
  4. AI agentI have a furnished respite suite free from Tuesday for up to a month. Respite in assisted living is 185 dollars a day, with meals, medication help and daily check-ins.
  5. CustomerOkay. What happens next?
  6. AI agentOur care manager, Sophie, will talk with you and his discharge planner. She has a call tomorrow at 10. Can I book it and have the planner's name?
  7. CustomerYes. It's Janet, on 4 North.
  8. AI agentYou're booked with Sophie at 10 tomorrow. I'm marking the Tuesday start as urgent so the suite gets ready.

After the call: Sophie has a 10 a.m. call with the family and the 4 North discharge planner, the respite suite is pencilled for Tuesday, and marketing sees a possible long-term move-in.

Questions

Can it confirm the stay?

It checks a suite is free and books the care assessment. The stay is confirmed by your care manager once they know his needs.

Does it talk to the hospital?

It takes the discharge planner's name and unit so your care manager can call. It doesn't discuss the patient with the hospital itself.

Can it book a trial stay for someone thinking of moving in?

Yes. It books the dates and the assessment, and lets marketing know so they can check in during the stay.
