Inbound: the customer calls

Puppy and kitten vaccine series booked from the first call

A new puppy owner calls on a Saturday afternoon, excited and full of questions. They hang up with the first exam booked, the boosters on the calendar, and a text telling them what to bring.

When it starts

Someone calls with a new puppy, kitten or rescue, or to book a wellness exam.

What the agent does

Sets up the pet's file, books the first visit and the series, answers the new-owner questions.

What your team gets

A new client and patient on file, with the whole series booked with one vet.

How it works

  1. Meets the pet

Name, species, breed, age and where they came from: breeder, shelter or a friend's litter. A new pet is set up on file before anything is booked.

  2. Asks what's done

Any shots or deworming the breeder or shelter already gave, so the series starts at the right dose. Records can be emailed in.

  3. Books the series

The first exam and each booster at the weeks apart your clinic uses, with the same vet so the pet knows a face.

  4. Answers new-owner questions

Exam and vaccine fees from your price list, when to spay or neuter, and what your clinic says about food and flea prevention.

  5. Says what to bring

By text: the breeder or shelter records, a stool sample, a leash or carrier, and parking directions.

  6. Books the whole household

Another pet at home due for a visit? It offers to book them at the same time.

Example call

  1. CustomerHi, we just brought home a puppy and we need to get him his shots. We've never had a dog.
  2. AI agentCongratulations! You've reached Bayview Animal Hospital, I'm Emma. What's his name, and how old is he?
  3. CustomerMoose. He's a lab mix, nine weeks. The rescue gave him one shot already.
  4. AI agentPerfect, then he's due for his next one around twelve weeks. Dr. Chen has Wednesday the 6th at 4:20 for his first exam and second vaccine, and I can book his twelve-week and sixteen-week visits with her too.
  5. CustomerYes, book them all. What does that first visit cost?
  6. AI agentA puppy exam with vaccines is 148 dollars at our clinic. Bring the rescue papers, a stool sample if you can, and Moose on a leash. I'll text you the list.
  7. CustomerGreat. When should we get him neutered?
  8. AI agentDr. Chen will talk about timing at the first visit, since it depends on his size. I'll note that you asked.

After the call: Moose is on file as a new patient, with three visits booked with Dr. Chen, the rescue's first vaccine noted, and "first dog, asking about neuter timing" for the exam. The owner has the what-to-bring text.

What your team gets

  • New clients and patients on file before the first visit
  • Whole vaccine series booked at your intervals, with one vet
  • Shots already given by a breeder or shelter noted
  • Owners' questions passed to the vet for the exam
  • Other household pets booked on the same visit
Set up with you: The team sets up a connection to your AVImark, Cornerstone, ezyVet or DaySmart Vet schedule and patient records, loads your vaccine intervals, fees and new-patient rules, and sets which vets see new puppies and kittens.

Questions

Can it tell me which vaccines my pet needs?

It books the series your clinic uses. Which vaccines a particular pet gets, like Lyme or leptospirosis, is decided by the vet at the exam.

Does it quote prices?

Only the fees on your price list, like the puppy exam and vaccine package. Surgery and dental estimates come from your team.

What about rescues with no records?

It books the first exam as a start of the series and notes that records are missing, so the vet decides where to begin.

Can it book exotic pets?

If your clinic sees rabbits, birds or reptiles, it books them with the vets you list for each species.
