Outbound: the agent calls

Overdue rabies and heartworm reminders by phone

Reminder emails go unread, and an overdue rabies shot becomes a lapsed one. A short, friendly call catches the pets your postcards missed, and books them before spring rush fills the schedule.

When it starts

A pet's vaccine or heartworm test is overdue, or the spring prevention season is starting.

What the agent does

Calls the owner, says what's due for that pet, books the visit, updates the record.

What your team gets

Overdue pets booked, and a clean list of pets that moved away or passed.

How it works

  1. Builds the list

Pets past due for rabies, core boosters or their annual heartworm and tick test, after the reminders you already send.

  2. Calls about that pet

"Biscuit's rabies booster came due in August." The pet by name and the exact vaccine, never a general reminder.

  3. Books the visit

Two open times with the pet's usual vet, and an offer to add the heartworm test or a nail trim if it's due.

  4. Handles the hard news

If the pet has passed away, it says it's sorry, marks the record so no more reminders go out, and lets the team know.

  5. Cleans the records

A pet who's moved to another clinic or another town is marked inactive, so the list stays true.

  6. Reports the recovery

Pets called, visits booked and vaccines brought up to date, by month.

Example call

  1. AI agentHi, is this Mrs. Okafor? It's Emma from Bayview Animal Hospital, calling about Biscuit. Is now a good time?
  2. CustomerOh, hi. Is something wrong?
  3. AI agentNot at all. Biscuit's rabies booster came due in August, and it's also time for her spring heartworm test. Would you like to get both done in one visit?
  4. CustomerOh, I completely forgot. Yes, please.
  5. AI agentDr. Patel has Saturday at 9:40 or Monday at 5:10.
  6. CustomerSaturday's best.
  7. AI agentSaturday at 9:40 it is. I'll text you the confirmation, and if you can, bring a stool sample too.

After the call: Biscuit is booked Saturday 9:40 with Dr. Patel for her rabies booster and heartworm test, and the overdue flag on her record is cleared once the visit is complete.

What your team gets

  • Overdue vaccines booked back into the schedule
  • Heartworm and tick tests added to the same visit when due
  • Deceased pets marked so no more reminders go out
  • Pets who moved clinics marked inactive
  • A monthly count of vaccines brought up to date
Set up with you: The team sets up a connection to your Cornerstone, AVImark or ezyVet reminders and schedule, and sets which vaccines and tests it calls about, how long after the due date, and the calling hours.

Questions

How does it handle a pet that has died?

Gently. It says it's sorry, doesn't continue the reminder, marks the record so the clinic never sends another, and tells your team so they can send a card if you do that.

Does it call for every overdue item?

Only the ones you choose, like rabies, core vaccines and the spring heartworm test, each with its own wait after the due date.

Will it explain why a vaccine matters?

In the words your vets give it. Medical questions about a specific pet go to the vet at the visit.
