Inbound: the customer calls

Model number and error code taken before the visit

A first visit that ends with "I'll have to order the part" costs a second trip. The agent gets the model, serial and error code on the call, so the tech can bring the likely part the first time.

When it starts

A customer calls about a fridge, freezer, washer, dryer, range, dishwasher or microwave.

What the agent does

Helps find the sticker, records the code and symptoms, gives approved tips, books the visit.

What your team gets

A booking with brand, model, serial, code and symptoms, plus a sticker photo.

How it works

  1. Answers while techs are behind fridges

First ring, in your company's name, while the office is on hold with the parts distributor.

  2. Finds the sticker

Tells them where it is for that appliance: inside the fridge on the side wall, under the dishwasher door, behind the dryer's lint trap. A photo texted in is even better.

  3. Records the code

The exact code on the display, like F21 or E24, and what the appliance is doing, since when, and whether it's making a noise.

  4. Shares only your tips

Check the breaker, the water valve, or keep the fridge doors closed. Only the ones you approved. She never diagnoses.

  5. Gives your diagnostic fee

The service call price from your list, and whether it's applied to the repair.

  6. Books the window

Two open windows in their area, a text confirmation, and the model on the job for the tech.

Example call

  1. CustomerMy washer stops mid-cycle and flashes something. F21, I think.
  2. AI agentThanks, that's really helpful. What brand is it, and is it a front loader or a top loader?
  3. CustomerWhirlpool, front loader. About six years old.
  4. AI agentThe model and serial are usually on a sticker inside the door rim. Could you read it to me, or text a photo to this number?
  5. CustomerI'll send a photo. And there's still water in the drum.
  6. AI agentGot the photo, thanks. I've noted the water too. The service call is 119 dollars, and it goes toward the repair if you go ahead. I have Wednesday 8 to 12 or Thursday 1 to 5.
  7. CustomerWednesday morning.
  8. AI agentYou're booked. I'll text you the confirmation now.

After the call: Wednesday's job has the Whirlpool model and serial from the photo, code F21 and "water left in the drum", so the tech checks the drain pump and brings one in the van.

What your team gets

  • Bookings with brand, model and serial from the sticker
  • The flashing code, the noise and when it started, written down exactly
  • Sticker photos on the job for the tech
  • Your approved tips shared, never a diagnosis
  • Fewer second trips for a part that wasn't on the van
Set up with you: The team loads the brands and appliances you repair, your service call fee, approved tips and service area, and sets up a connection to your job software (ServiceBench, Housecall Pro or Workiz) so the agent sees open windows and writes the job.

Questions

Will it tell people what's wrong?

No. She writes down the code and what the machine is doing, and the diagnosis happens at the appliance, by the tech.

What if they can't find the sticker?

She tells them where it usually is for that brand and appliance, and if it's still hidden, the tech reads it on site.

What about a gas smell from the range?

She tells them to leave the house and call the gas company's emergency line, then takes the booking for after.
