Outbound: the agent calls

Install days confirmed and the garage cleared

A two-person install crew arrives to a garage full of bikes and a car inside, and loses an hour. Emma calls the day before, confirms the door is in, and makes sure the space is ready.

When it starts

A door or opener install on tomorrow's schedule, or a special-order door that just arrived.

What the agent does

Calls to say the door is in, confirm the time, ask for the garage cleared, and move it if needed.

What your team gets

Crews arriving to clear garages, and fewer half-day gaps from last-minute cancellations.

How it works

  1. Watches for arrivals

When a special-order door lands in the warehouse, she calls the customer to say it's in and books the install date.

  2. Confirms the day before

The crew's arrival window, how long it usually takes, and that someone needs to be home to test the opener at the end.

  3. Asks for a clear garage

About a metre clear across the front, the car parked outside, and power to the opener outlet. Your list, said simply.

  4. Mentions the haul-away

The old door is taken away if that was on the quote, so they don't have to put it out for bulk pickup.

  5. Moves it if needed

Can't do tomorrow? She offers two open install days and frees the slot for the next door in the warehouse.

  6. Tells the crew lead

Notes like a dog in the house or a narrow driveway go to the crew lead the night before.

Example call

  1. AI agentHi Mr. Chen, it's Emma from Simcoe Overhead Doors. Just confirming your new door install tomorrow, with the crew arriving between 8 and 9. Still good?
  2. CustomerYes, I think so. How long does it take?
  3. AI agentUsually about four hours with the new opener. Could you have the car out and about a metre cleared along the front of the garage before they arrive?
  4. CustomerSure. There's a freezer near the door, is that a problem?
  5. AI agentIf it's against the side wall it's fine. I'll let Dave know it's there. They'll take the old door away with them, so nothing to put out.
  6. CustomerGreat, see them tomorrow.

After the call: The install shows as confirmed, Dave's crew has a note about the freezer on the side wall, and the customer gets a text with the arrival window and the clearing list.

What your team gets

  • Install days confirmed the day before, marked on the schedule
  • Special-order arrivals called and booked the day they land
  • Clearing and parking instructions given to every customer
  • Rescheduled installs filled from doors waiting in the warehouse
  • Notes for the crew lead the night before
Set up with you: The team sets up a connection to your install schedule and order tracking for special-order doors, and loads your clearing list and how long each type of install usually takes.

Questions

Call or text?

You choose. Many companies text a day ahead and have Emma call when there's no reply.

What if they cancel the night before?

She offers two new install days, frees the slot, and tells the office so another ready door can take it.

Does it explain the opener programming?

It tells them the crew will set up the remotes and test the door with them before leaving, so someone should be home at the end.
