Outbound: the agent calls

Maintenance plan members booked for fall tune-ups

Your plan members paid for two visits a year, and half never book them until something breaks. Emma calls each one in the shoulder season and fills the weeks before the rush.

When it starts

Fall and spring tune-up windows, and plans coming up for renewal.

What the agent does

Calls each member, books the visit, confirms the equipment and renews ending plans.

What your team gets

A full September and April, and members who stay on the plan.

How it works

  1. Builds the list

Plan members with a tune-up due, by area, so a tech's day is a tight route instead of a zigzag.

  2. Calls before the rush

September for furnaces, April for AC, while your techs have room and the weather is mild.

  3. Confirms the equipment

Same furnace, same AC, any humidifier or air cleaner added since last year, and the filter size so the tech brings one.

  4. Books by route

Offers the days a tech is already in their neighbourhood, two times to choose from.

  5. Renews the plan

A plan ending this season is renewed on the call at your price, and the member gets a text receipt.

  6. Picks up the add-ons

A member who mentions a cold room or a noisy unit gets a note for the tech to look at it on the visit.

Example call

  1. AI agentHi Mrs. Gagnon, it's Emma from Northern Comfort Heating. Your furnace tune-up is due on your comfort plan. Got a minute to book it?
  2. CustomerOh, yes. I always forget until it's cold.
  3. AI agentThat's why I'm calling. Our tech is in New Sudbury on the 18th and the 25th. Morning or afternoon?
  4. CustomerThe 18th, morning.
  5. AI agentBooked for the 18th at 9. Is it still the 16 by 25 filter? I'll have him bring one. Also, your plan renews next month. Would you like to keep it at 219 dollars a year?
  6. CustomerYes, keep it. And the furnace has been a bit loud starting up.
  7. AI agentI'll put that on the visit so he listens for it. You'll get a text with the time and your renewal receipt.

After the call: The tune-up sits on the 18th in a New Sudbury route with the filter size and "loud on start-up" noted, and the plan is renewed for another year with the receipt texted.

What your team gets

  • Tune-ups booked by neighbourhood, so routes stay tight
  • Plans renewed on the call at your set price
  • Filter sizes and equipment changes on the visit
  • Symptoms noted for the tech to check while there
  • A season report of members booked, renewed and lapsed
Set up with you: The team sets up a connection to your maintenance plan and scheduling software so Emma sees members, equipment, renewal dates and tech routes, and loads your plan prices and the months to call.

Questions

Can she take payment for a renewal?

Yes. She renews on the card already on file, or texts the payment link you use, and the member gets a receipt.

Can she sell new plans?

Yes. Customers who call for a repair can be told about the plan at your price, and she signs them up if they want it.

What if a member wants to cancel the plan?

She takes the request politely, notes the reason and passes it to the office. No pushing.

Can she book around a tech's route?

Yes. She offers the days a tech is already working in that area first.
