Outbound: the agent calls

Furnace and heat pump quotes followed up

A replacement quote is often the biggest job of the month, and most sit unsigned because nobody called back. Emma calls at the right time, reads what your comfort advisor quoted, and books the next step.

When it starts

A replacement quote unsigned after the number of days you pick.

What the agent does

Calls with the quote in hand, answers questions from it, books an install or a second visit.

What your team gets

Signed installs, questions for the advisor, and a reason for every no.

How it works

  1. Picks up the open quotes

Each morning: furnace, AC and heat pump quotes with no answer after your wait, sorted by value.

  2. Calls with the details

The equipment, the options the advisor gave and the price on each, read from the quote. Never a number of her own.

  3. Hears the real question

Good, better, best is confusing. She explains the difference the advisor wrote, like a variable-speed blower or a cold-climate heat pump.

  4. Books the next step

An install date from your crew calendar, or a second visit with the advisor when they want to talk it through.

  5. Learns why not

Price, timing, another quote, waiting on a rebate. Each reason is noted so the advisor knows what to address.

  6. Lets go gracefully

Went with someone else? She thanks them and marks it closed. No second call.

Example call

  1. AI agentHi Mr. Pelletier, it's Emma from Northern Comfort Heating. Is now an okay time? It's about the furnace quote Josée left with you last week.
  2. CustomerYeah, we're still thinking. There were three options and I'm not sure what the difference is.
  3. AI agentThat's fair. The middle one, at 6,850 installed, has a two-stage burner, so it runs gently most of the day. The top one adds a variable-speed fan for more even heat upstairs. Is the upstairs cold now?
  4. CustomerAlways. The kids' rooms are freezing.
  5. AI agentThen Josée would probably want to talk about that one with you. Could she come back Thursday evening at 6 to go through it with you both?
  6. CustomerYes, that'd be helpful.
  7. AI agentDone. Thursday at 6 with Josée. I'll let her know the upstairs is the main concern.

After the call: Josée has a Thursday 6:00 visit with "kids' rooms cold upstairs, leaning to top option" on the quote. The quote moves from cold to active on the sales report.

What your team gets

  • Every replacement quote followed up on your timing
  • Install dates booked straight from the call
  • Second visits with the comfort advisor when a buyer is close
  • Reasons for every no, for your sales meeting
  • A weekly report of quotes called, booked and closed
Set up with you: The team sets up a connection to your ServiceTitan, Jobber or Housecall Pro quotes and crew calendar, and sets with your sales manager how long to wait, which quotes to call and which advisor gets each booking.

Questions

Will she haggle on price?

No. She reads the prices on the quote. Questions about a discount or financing go to your advisor as a note or a second visit.

What does she say about rebates?

Only what your advisor wrote on the quote or what you give her. Anything else becomes a question for the advisor.

How many times does she call?

As many as you set, usually once or twice with a text in between. A no is final.
