Inbound: the customer calls

Green pools and cloudy hot tubs sorted by phone

After a thunderstorm half the town's pools go green and everyone calls the store. Emma answers with your advice, tells them how to bring in a sample, and checks the product they need is on the shelf.

When it starts

A caller's pool turned green or cloudy, or their hot tub is foamy, cloudy or smells.

What the agent does

Gives your first steps, explains how to take a sample, checks the shelf, books a service visit if needed.

What your team gets

Customers walking in with a sample and buying from your store, not the big box down the road.

How it works

  1. Hears what changed

Green, cloudy or milky, after a storm, a party, or a heat wave. For hot tubs: foam, smell, or a cloudy look after heavy use.

  2. Gives your first steps

Run the pump, brush the walls, check the filter pressure. Only the advice your store has given her, never her own doses.

  3. Asks for a sample

Fill a clean bottle at elbow depth, away from the return jets, and bring it to the counter for a free test.

  4. Checks the shelf

She sees whether the shock, clarifier or filter cartridge they'll likely need is in stock before they drive over.

  5. Books a visit if it's big

A swamp-green pool or a tub that won't clear gets a service call with the crew's green-to-clean price from your list.

  6. Says when you're open

Store hours, the busiest times, and whether they can drop the sample off and pick up the results later.

Example call

  1. CustomerOur hot tub went cloudy overnight. We had people over last night. What did I do wrong?
  2. AI agentThat's really common after a busy night. Have you checked the filter lately? A dirty filter often causes it.
  3. CustomerUm, not in a while.
  4. AI agentOur store's advice is to rinse the filter well, add a dose of the spa shock you use, and run the jets with the cover off for 20 minutes. If it's still cloudy tomorrow, bring a sample in and we'll test it.
  5. CustomerShould I just buy a new filter?
  6. AI agentIf you bring the old one, the counter can match it. Most spa filters are in stock right now. We're open until 6 tonight.
  7. CustomerOkay, I'll come by after work.

After the call: The caller comes in with the old filter and a sample, buys a replacement cartridge, and the call summary is in the portal with "cloudy after a party, filter not cleaned recently".

What your team gets

  • Water questions answered from your own care advice
  • Customers sent in with a sample and their old filter
  • Stock checked before a customer drives over
  • Service calls booked for pools that need the crew
Set up with you: The team sets up a connection to your store's POS for stock and your service schedule, and loads the water care advice your counter staff give.

Questions

Will it tell people how much chemical to add?

Only what your store's advice says. Beyond that, it asks them to bring a sample for testing.

Can it check if a filter is in stock?

Yes. It looks up the item and tells the caller before they come in.

What about a really green pool?

It books a service visit at your price, or tells them how to start while they wait.
