Inbound: the customer calls

Heater and pump failures booked with the error code

A gas heater shows an error code three days before a backyard party. Emma takes the code, the model and a photo, books the visit, and your tech arrives with the igniter instead of coming back tomorrow.

When it starts

A heater won't fire, a pump hums or leaks, a hot tub shows an error or won't heat.

What the agent does

Takes the equipment, the code and what changed, books a service call before their date if possible.

What your team gets

A service job with model, code and photo, so the right part is on the truck.

How it works

  1. Finds the equipment

Gas heater or heat pump, pump or salt cell, or the hot tub's control pack. Brand and model from the label if they can find it.

  2. Takes the code

What's on the display, how long it's been there, and whether anything changed, like a power outage or a storm.

  3. Asks for a photo

A text of the display or the label goes straight onto the job for the tech.

  4. Books around their date

A party on Saturday? She looks for a slot before then and notes the deadline on the job.

  5. Gives the basics

Check the breaker, the gas valve is open, the pump is primed. Only the safe checks you approve.

  6. Flags parts

If the code points at a common part, she notes it for the service manager to check stock before the visit.

Example call

  1. CustomerOur pool heater won't fire up, and we're having twenty people over on Saturday.
  2. AI agentLet's get it looked at before then. Is it a gas heater or a heat pump, and is anything on the display?
  3. CustomerGas. It says IF, I think.
  4. AI agentThanks. Can you text a photo of the label on the side to this number? Then the tech can bring the right parts.
  5. CustomerSure, I'll send it now.
  6. AI agentI have Thursday between 1 and 4. Our service call is 145 dollars plus parts. Does Thursday work?
  7. CustomerYes, please.
  8. AI agentBooked. I've noted the party on Saturday so the tech knows it matters.

After the call: Thursday's service call has the IF code, the heater label photo and "party Saturday" on the job. The service manager sees the code and checks the igniter is in stock.

What your team gets

  • Service calls with equipment model, error code and photo
  • Visits booked before the customer's deadline when possible
  • Common parts flagged so the truck has them
  • Fewer second trips for the same problem
Set up with you: The team sets up a connection to your service schedule, parts stock and customer equipment records, and loads your service call price and the safe checks callers can do.

Questions

Will it diagnose the heater?

No. It records the code and symptoms so the tech arrives prepared.

Can it handle hot tub errors too?

Yes. It takes the code from the control panel and books the hot tub service call.

What if they want it fixed today?

It offers any opening today. If there isn't one, it books the first slot and flags the deadline.
