Inbound: the customer calls

Sites matched to the rig, the slides and the amps

The Friday line of trailers at the gate no longer means a ringing phone nobody can reach. Callers book a site their rig fits, with the right power, and get the confirmation before they hang up.

When it starts

A camper calls about a tent, trailer or RV site, any hour, often several at once.

What the agent does

Asks the rig questions, finds a site that fits on the live site map, books it and texts the details.

What your team gets

A booked site with rig length, slides, amps, people and pets noted, and nothing to fix at check-in.

How it works

  1. Answers in the park's name

Calm and friendly, while whoever is on the gate sells firewood, hands out maps and leads a first-timer to their site on the golf cart.

  2. Asks what the office would ask

Tent or RV. For a rig: total length, slide-outs and which side, pull-through or back-in, and 15, 30 or 50-amp. Then adults, kids, pets and how many vehicles.

  3. Offers sites that fit

Looks at the site map for the dates and offers only sites long enough for the rig, with the power they asked for. If none fit, it says so and offers the next weekend or adds them to the cancellation list.

  4. Describes the site honestly

Shade, the loop it's on, the walk to the comfort station, water and sewer. It only calls a site waterfront or private when your site notes say so.

  5. Books it and holds the deposit

The site is marked booked for those nights and the camper gets your deposit link by text, so no other caller is offered it.

  6. Sends what they need

A text with the site number, check-in and check-out times, quiet hours, visitor and pet rules, and the park map.

Example call

  1. AI agentGood afternoon, Silver Lake RV Park, this is Emma. How can I help?
  2. CustomerHi, any chance you've got something for the long weekend? We've got a 34-foot travel trailer.
  3. AI agentLet's see. Does it have slide-outs, and is it 30 or 50-amp?
  4. CustomerOne slide on the driver's side, 30-amp.
  5. AI agentThanks. For Friday to Monday I have site 22 on the Spruce loop, a back-in that takes up to 38 feet with 30-amp and water, or site 61, a pull-through with full hookups. Site 61 is a little further from the beach.
  6. CustomerPull-through, please. My husband hates backing in.
  7. AI agentSite 61 it is, Friday to Monday. How many people, and any pets?
  8. CustomerTwo adults, two kids and a beagle.
  9. AI agentPerfect. I'm texting you the deposit link, the map and our pet rules now. Dogs stay on a leash, and the dog beach is past site 70. See you Friday.

After the call: Site 61 is marked booked Friday to Monday with a 34-foot trailer, one slide, 30-amp, four people and a beagle on the reservation. The deposit link is paid that evening and the gate office sees the booking on Friday's arrival list.

What your team gets

  • Reservations with rig length, slides, amperage, people, pets and vehicles filled in
  • No trailers turned away at the gate because the site was too short
  • Deposit links sent and tracked on each booking
  • Call summary and recording on every booking in the portal
  • A list of callers who wanted a weekend you were full, for cancellations
Set up with you: The team loads your site list with each site's length, type, power, water and sewer, and sets up a connection to your Campspot, Newbook or Firefly site map and your deposit link, then sets your booking rules for long weekends and minimum stays.

Questions

What if the trailer is too long for every open site?

It says so plainly, then offers other dates when a longer site is free or adds them to the cancellation list. It never squeezes a 40-foot fifth wheel onto a 35-foot site.

Does it handle long weekend minimum stays?

Yes. If Victoria Day weekend is a three-night minimum, it explains that and books three nights or none.

Can it book tent sites and cabins too?

Yes. Tent sites, walk-in sites, cabins and yurts are all on the same map, each with its own questions.

What about campers from Quebec?

It speaks French and many other languages, and asks before switching.
