Arrival calls with the gate code and the fire ban
Every camper rolls in knowing when the gate closes, where their site number is posted and whether they can have a fire tonight. The office stops fielding the same five questions at 8:55 p.m.
A reservation arriving tomorrow, or a fire ban that changes after campers have booked.
Calls or texts with check-in, the late-arrival steps, the fire rules and the firewood policy, and asks their arrival time.
An arrival list with expected times, late arrivals flagged, and no surprises at the gate.
How it works
- Builds tomorrow's arrival list
Each afternoon it takes every reservation arriving the next day, with site number, rig and phone.
- Calls with what matters
Check-in from 2, gate office closes at 9, and where to go if they're later. For a late arrival, the gate code and the board where their site number is posted.
- Gives today's fire rules
Whatever the park manager last posted: open fires allowed, fires only in the pits, or a full ban. It says the date the rule was posted.
- Covers firewood
Firewood is sold at the camp store, and campers are asked not to bring wood from home, the way your park asks it.
- Asks their arrival time
The answer goes on the reservation, so the gate office knows who is still coming after dark.
- Calls again if the ban changes
When the manager posts a new fire rule, every camper booked for that week hears it by text or call before they pack.
Example call
- AI agentHi, is this Ravi? It's Emma from Silver Lake RV Park, about your arrival tomorrow on site 14. Is now okay?
- CustomerSure. We're leaving Toronto after work, so we'll be late.
- AI agentNo trouble. The gate office closes at 9. If you're later, the gate code is 4417, and your site number is on the board just inside on the left. Roughly what time do you think?
- CustomerProbably 10:30.
- AI agentI'll let the office know. One more thing: there's a fire ban in the park as of Tuesday, so no campfires, but propane stoves are fine. Firewood isn't needed this week, so leave yours at home.
- CustomerGood to know, thanks.
- AI agentYou're welcome. I'm texting you the code, the map and quiet hours, which start at 11. Drive safe.
After the call: Ravi's reservation shows an expected arrival of 10:30 p.m., the night attendant sees site 14 on the late list, and the text with the gate code and fire ban notice sits in his messages for the drive up.
What your team gets
- Expected arrival times on every reservation
- A late-arrival list for the night attendant
- Every camper told about a fire ban before they arrive
- Fewer calls to the gate in the last hour before it closes
- Wrong phone numbers caught a day early, not at check-in
Questions
Does it read out the gate code to anyone?
Only to the camper on the reservation, on the call it places to their number or by text. A caller asking for the code gets it after it matches them to a booking.
How does it know the fire ban?
Your manager posts it, and it repeats exactly that with the date. If the rule hasn't been updated in a while, it says when it was last posted.
Call or text?
Your choice. Many parks text everyone and call only campers with no reply or a late arrival.
