Outbound: the agent calls

Seasonal campers re-signed before the deposit date

By Thanksgiving you know who's coming back. Seasonals hear next year's rate and deposit date, say yes or no, and the sites that open go straight to the waitlist instead of sitting empty into May.

When it starts

Your renewal window opens in the fall, or a deposit date is close with no deposit in.

What the agent does

Calls each seasonal, confirms they're returning, gives the new rate and dates, sends the deposit link.

What your team gets

A renewal list marked yes, no or thinking, deposits in, and open sites known early.

How it works

  1. Starts from this year's seasonals

Site, family, rig and anything noted over the season, like a deck they built or a site move they asked for.

  2. Calls with next year's terms

Season dates, the new seasonal fee from your rate sheet, the deposit and when it's due. The same facts for every family.

  3. Takes the answer

Yes, no, or need to think. A yes gets the deposit link by text. A no is thanked warmly and asked, lightly, why.

  4. Handles the requests

A move to a waterfront site, a bigger rig next year, a new shed: noted for the manager to decide.

  5. Follows up before the date

A reminder call or text a week before deposits are due for anyone who said yes but hasn't paid.

  6. Opens the leavers' sites

Every no goes to the manager, so the site can be offered down the seasonal waitlist right away.

Example call

  1. AI agentHi Bill, it's Emma from Silver Lake RV Park. I'm calling our seasonals about next summer. Got a couple of minutes?
  2. CustomerSure. We're coming back, don't worry.
  3. AI agentThat's great to hear. Next season runs May 15 to October 12. The rate for site 41 goes to 4,100 dollars, and the 500-dollar deposit is due November 30.
  4. CustomerThat's fine. Any chance we could move closer to the water? Our grandkids are coming more now.
  5. AI agentI'll put that request in for Dave. He decides site moves once renewals are in, and he'll call you about it.
  6. CustomerOkay, thanks.
  7. AI agentI'm texting you the deposit link now. Enjoy the rest of the fall, Bill.

After the call: Bill's site 41 is marked renewing with the deposit link sent, and Dave has a request for a waterfront move with the reason. The deposit comes in the next week and the reminder is cancelled.

What your team gets

  • Every seasonal marked yes, no or thinking
  • Deposit links sent, paid ones marked, late ones reminded
  • Site move and rig change requests for the manager
  • Reasons from seasonals who aren't returning
  • Open sites known in the fall, not in May
Set up with you: The team sets up a connection to your seasonal records and deposit links, loads next season's rates and dates from your rate sheet, and sets the calling window and reminder timing with your manager.

Questions

Will it negotiate the rate?

No. It gives the rate on your sheet. A seasonal who wants to talk about it gets a note to the manager and a callback.

What if they don't answer?

A voicemail and a text, then another try a few days later. The manager sees anyone still unreached as the deposit date gets close.

Can it handle a family that's leaving?

Yes. It thanks them, asks lightly if anything could have been better, and marks the site open.
