Outbound: the agent calls

Seasonal sites offered down the waitlist in order

Seasonal sites are the steadiest money in the park, and the waitlist is often a binder by the phone. Now every sign-up is recorded properly, and an open site is offered in order the same day it opens.

When it starts

A camper asks about going seasonal, or a seasonal site opens up.

What the agent does

Takes waitlist details, then calls in list order with the site, the season dates and your seasonal rate sheet.

What your team gets

A clean waitlist, an open seasonal filled in days, and a site visit booked with the manager.

How it works

  1. Takes the sign-up properly

Rig type and length, preferred loop, waterfront or wooded, season they want to start and phone, with the date they asked, so the order is fair.

  2. Hears when a site opens

The manager marks a seasonal site free, with its length, power and any deck or shed on it.

  3. Calls in order

First family on the list whose rig fits the site. No answer means a voicemail, a text and the next name after the window you set.

  4. Explains the site and terms

Season dates, the seasonal fee from your rate sheet, hydro billing, deposit due date and the park's seasonal rules. Nothing it hasn't been given.

  5. Books the walk-through

A time with the park manager to see the site, so they can say yes standing on it.

  6. Keeps the list honest

Passes, no answers and people who've bought elsewhere are marked, so the list gets shorter and truer.

Example call

  1. AI agentHi Mrs. Lavoie, it's Emma from Silver Lake RV Park. You've been on our seasonal list since last August. A site just opened that fits your trailer. Have you got a minute?
  2. CustomerOh my goodness, yes!
  3. AI agentIt's site 108 on the Birch loop, wooded, 40 feet, 30-amp with water and sewer, and it has a small deck the last family left. The season runs May 15 to October 12.
  4. CustomerWhat does it cost for the season?
  5. AI agentThe seasonal fee on our rate sheet for that loop is 3,950 dollars, with hydro metered on top. A 500-dollar deposit holds it for you.
  6. CustomerCan we see it first?
  7. AI agentOf course. Dave, our manager, can walk you through it Saturday at 10 or Sunday at 2.
  8. CustomerSaturday at 10.
  9. AI agentBooked. I'll text you the site number and directions to the office.

After the call: Site 108 is marked offered to the Lavoies with a walk-through Saturday at 10 on Dave's calendar. If they pass, the next family on the list who fits a 40-foot site is called that afternoon.

What your team gets

  • A dated waitlist with rig, loop and contact details
  • Open seasonals offered in fair order
  • Walk-throughs booked with the park manager
  • Every pass and no-answer marked on the list
  • Seasonal sites filled before the season starts
Set up with you: The team sets up a connection to your reservation system and seasonal records, moves your current waitlist in with its dates, and loads your seasonal rate sheet, rules and how long each family gets to answer.

Questions

Who decides who gets the site?

You do. It calls in the order you keep and offers a walk-through. Saying yes and taking the deposit stays with the manager.

What if their rig won't fit the open site?

It skips them for that site and keeps their place for the next one that fits, and tells them so if they ask.

Can it take waitlist sign-ups in winter?

Yes. Spring and fall calls asking about seasonal sites are added to the list with the date, whatever month it is.
