Outbound: the agent calls

Courtesy holds followed up before they lapse

A seven-day hold is a promise on both sides. The couple gets a friendly call before it ends, their last questions answered, and the ones who are ready go straight to the sales manager to sign.

When it starts

A courtesy hold ending in two days, or a toured couple who went quiet.

What the agent does

Calls to ask how they're feeling, answers questions, transfers ready couples, notes the rest.

What your team gets

Holds turned into contracts, released dates known early, and the reasons couples chose elsewhere.

How it works

  1. Watches the holds

Every courtesy hold on the calendar with its end date, the couple, the room and the package they toured.

  2. Calls two days before

"Your hold on the 12th runs until Friday, I wanted to check in." Never a hard close.

  3. Answers the sticking point

Parents asking about parking, a question about the bar package, whether a second room is free for a rehearsal dinner. Answered from your sheets.

  4. Puts ready couples through

A warm transfer to the sales manager to sign and pay the deposit, with a short private summary.

  5. Not ready? Asks why

Still deciding, need a parent's say, or chose another venue. The reason goes on the enquiry for sales.

  6. Frees the date honestly

If they let it go, the sales manager is told so the date can be offered to the next couple asking.

Example call

  1. AI agentHi Owen, it's Emma from Willow Creek Barn. You and Jasmine have a hold on Saturday the 26th that runs until Friday. I just wanted to check in. How are you two feeling?
  2. CustomerWe love it. Her parents are just worried about guests driving home from out in the country.
  3. AI agentThat comes up a lot. We work with a shuttle company in Elora that runs guests to the two hotels in Fergus, and you can book it through us. I can send their details.
  4. CustomerOh, that helps a lot. Honestly, I think we're ready.
  5. AI agentThat's wonderful. Let me put you through to Natalie now so she can get the contract going. One moment.
  6. AI agent(privately, to Natalie) Owen and Jasmine, hold on the 26th, parents' worry was the drive home, shuttle details sent, ready to sign.

After the call: Natalie signs the couple that afternoon and the hold on the 26th becomes a contracted date. The shuttle company's details are in the couple's email and the parents' worry is noted for the coordinator.

What your team gets

  • A call on every hold before it ends
  • Ready couples transferred to sign the same day
  • The real reason behind every "we're still thinking"
  • Released dates back on the calendar early
  • A monthly report of holds, signings and losses
Set up with you: The team sets up a connection to your event calendar and Tripleseat or HoneyBook records for holds and tours, and sets with your sales manager the hold length, when to call and who takes the transfer.

Questions

Won't it feel like pressure?

It calls once, to check in and answer questions. If the couple needs more time, it says that's fine and tells sales.

Can it extend a hold?

No. A couple asking for more time is passed to the sales manager, who decides.

What if they've booked somewhere else?

It congratulates them, asks lightly what made the difference, and tells sales the date is free.
