Inbound: the customer calls

Open Saturdays checked and tours booked during events

Saturday is when couples call and when your sales manager is busy cueing a grand entrance. Now every one of those calls ends with a date checked and a tour booked, not a voicemail heard on Monday.

When it starts

A couple, a parent or a company calls the venue line, often on a weekend.

What the agent does

Checks open dates, answers capacity and package questions, books a tour, sends the brochure.

What your team gets

A booked tour with the couple's date, guest count and questions, ready for the sales manager.

How it works

  1. Answers warmly

Congratulates the couple like your front desk would, then asks the date or season and the guest count.

  2. Checks the calendar

Open Saturdays, Fridays and Sundays around their date, and which rooms are free for each.

  3. Explains the options

Room capacities, ceremony spaces, what's in each package, the minimum for that day and season, and whether outside caterers or a late-night food truck are allowed, all from your package sheet.

  4. Books the tour

Into the sales manager's open tour times, with a text confirmation and the brochure and floor plan by email.

  5. Puts ready couples through

A couple who wants to put a deposit down now is warm-transferred to the sales manager with a short private summary, or the lead goes out by text at once.

  6. Leaves notes for sales

What they loved, what worried them and who else they're touring, in the call summary.

Example call

  1. CustomerHi, my fiancé and I are looking at June next year. Do you have any Saturdays?
  2. AI agentCongratulations to you both! For June I have Saturday the 6th and the 27th open. About how many guests?
  3. CustomerAround 200. Is that too many?
  4. AI agentThe main hall seats 220 for dinner, so 200 fits. In June the Saturday minimum is 24,000 dollars in food and drink, before tax and service. Would you like to see the hall?
  5. CustomerYes. Can we come this week?
  6. AI agentNatalie has Wednesday at 6 or Thursday at 4:30. ... Wednesday at 6, done. I'll text you the address and send the floor plan by email.

After the call: The tour is on Natalie's calendar for Wednesday at 6 with June 6 or 27, 200 guests and the main hall noted. The couple has the address and the floor plan before they hang up.

What your team gets

  • Tours booked while staff run the event on site
  • Date options, guest count and room on every tour
  • Brochure and floor plan sent by email
  • Couples ready for a deposit put through to sales
  • Recording, transcript and summary in the portal
Set up with you: The team loads your rooms, capacities, packages and minimums, sets up a connection to your event calendar and tour schedule, and agrees with your sales manager when to transfer and when to text the lead.

Questions

Will it quote our minimums?

Yes, exactly as your package sheet states them, by day and season. It never waives one or offers a discount.

Can it hold a date?

No. Holds and deposits stay with your sales manager. A couple ready to commit is put through or called back by sales.

What if they ask about a date two years out?

It checks the calendar the same way and books the tour. Your release dates for future seasons are loaded at setup.

Does it speak French?

Yes, and many other languages. It asks before switching.
