Inbound: the customer calls

Tee times booked while the counter checks in groups

At 7 on a sunny Saturday the counter is taking green fees and the starter is calling groups to the first tee. The phone still gets answered, and every call ends with a time on the sheet.

When it starts

A golfer calls the pro shop, from before opening to dusk.

What the agent does

Books tee times from the live sheet, adds carts and rentals, answers rates, dress code and conditions.

What your team gets

Full tee times with player names, carts and holes, and fewer calls at the counter.

How it works

  1. Answers before the shop opens

A golfer calling at 5:45 to play at 7 gets a time, not a recorded message.

  2. Asks the tee-sheet questions

How many players, nine or eighteen, the time they'd like, walking or riding, and any rental clubs.

  3. Offers real times

Two open times nearest what they asked for, from the live tee sheet. A threesome hears whether a single might be paired with them.

  4. Gives the rate and the rules

Green fee, cart fee and twilight rate from your rate card, plus dress code, walking policy and the range hours.

  5. Shares today's conditions

Cart-path only, the back nine on temporary greens, the range closed for mowing. Whatever the shop posted this morning, with the time it was posted.

  6. Confirms by text

Tee time, players, cart, and how early to check in. A reminder goes out the evening before.

Example call

  1. AI agentGood morning, Cedar Glen Golf Club pro shop, this is Emma.
  2. CustomerHi, can I get four of us out around 8 on Saturday? Eighteen holes.
  3. AI agentI have 7:52 or 8:16 for a foursome on Saturday. Riding or walking?
  4. Customer8:16, two carts. And my buddy needs rental clubs, he's left-handed.
  5. AI agentWe have one left-handed rental set, and I've put it aside for you. The weekend rate is 79 dollars a player for eighteen, and carts are 22 a seat.
  6. CustomerPerfect. Name's Doug Kowalski.
  7. AI agentDone, Doug. Four at 8:16 Saturday, two carts and the lefty set. Check in 20 minutes early, and collared shirts on the course. I'll text you the confirmation.

After the call: The tee sheet shows Kowalski, four players at 8:16 Saturday with two carts, and the left-handed rental set is marked held. Doug gets a reminder Friday evening with the morning's cart policy once the shop posts it.

What your team gets

  • Tee times on the live sheet with players, holes and carts
  • Rental sets held for the booking
  • Today's conditions given to every caller the same way
  • Reminder texts the evening before each round
  • Fewer calls at the counter during the morning rush
Set up with you: The team sets up a connection to your tee sheet in Lightspeed Golf, Tee-On or Club Caddie, loads your rate card, dress code and rental inventory, and gives the shop one place to post the day's conditions.

Questions

Will it double-book the sheet?

No. It books against the live tee sheet, so phone and online bookings share the same times.

Does it handle member-only times?

Yes. Member times are kept for members, and it checks the caller is one before booking them.

Can it book lessons too?

Yes. Each pro's lesson times and types are loaded, and the confirmation says where to meet.

What does it say about carts after rain?

Exactly what the shop posted that morning. If nothing is posted yet, it says so and texts the policy once it's in.
