Outbound: the agent calls

Frost delays and rain closures called to booked groups

A frost delay at 6 a.m. used to mean a crowd in the pro shop at 7 asking why. Now every booked group gets a call or text with their new tee time, and washed-out rounds are rebooked on the same call.

When it starts

The superintendent calls a frost delay, cart-path only or a closure.

What the agent does

Calls or texts each booked group in tee-time order with the new time, or rebooks them.

What your team gets

A reshuffled sheet that holds, golfers who arrive on time, and rain checks noted.

How it works

  1. The shop posts the delay

"Frost delay, first tee off at 8:30, pushing everyone 45 minutes." Or cart-path only, or the course closed.

  2. Calls in tee-time order

The earliest groups first, so the 6:48 foursome hears before they leave the house.

  3. Gives the new time

Their pushed tee time from the updated sheet. If it doesn't suit, it offers the nearest open time that day or another day.

  4. Handles closures

On a closure, it rebooks each group onto an open time this week, or notes a rain check the way your shop handles them.

  5. Covers cart rules

Cart-path only, or no carts today. Golfers who can't walk the course are offered another day.

  6. Tells the shop what changed

A list of who confirmed, who moved and who couldn't be reached, before the first group arrives.

Example call

  1. AI agentGood morning, Mr. Chen, it's Emma from Cedar Glen. Sorry for the early call. We have frost on the greens, so the 7:04 tee time is moving to 7:50. Does that still work?
  2. Customer7:50. Hm, I have to be back by noon.
  3. AI agentThat's tight for eighteen. Would nine at 7:50 work, or eighteen on Sunday at 7:20?
  4. CustomerLet's do Sunday at 7:20.
  5. AI agentDone. Sunday at 7:20, same three players. I'll text you the confirmation. Have a good morning.

After the call: Mr. Chen's group moves to Sunday at 7:20 on the tee sheet, Saturday's 7:50 slot opens for walk-ups, and the shop's list shows his group as moved, not a no-show.

What your team gets

  • Every booked group told about a frost delay before they leave
  • New tee times and rebookings on the sheet
  • Rain checks noted on closures
  • A list for the shop of confirmed, moved and unreached groups
  • No crowd at the counter asking why they can't tee off
Set up with you: The team sets up a connection to your tee sheet and golfer phone numbers, and sets with your head pro and superintendent how delays are posted, how far the sheet pushes, and how rain checks work.

Questions

How early does it call?

From the time you set, often 6 a.m. on frost mornings. Groups after 10 can get a text instead.

What if a group can't make the new time?

It offers the nearest open time that day or another day and moves them on the sheet.

Does it handle shotgun starts?

Yes. A delayed shotgun is called to the organizer first, and to every player if you want.
