Outbound: the agent calls

Renewal increases reviewed before the bill hits

A renewal coming in 18 percent higher is how brokerages lose households. The client hears from you first, a few weeks ahead, and has a time booked with their broker to look at options.

When it starts

A renewal downloaded from the insurer with an increase over the threshold you set.

What the agent does

Calls ahead of the notice, asks what's changed, books a review with the broker.

What your team gets

A review on the broker's calendar with the renewal, the increase and the client's news.

How it works

  1. Builds the list

Each week: renewals 45 to 60 days out with an increase above your threshold, and long-time clients with any increase at all.

  2. Calls before the notice

"Your home renewal is coming up in March and I wanted your broker to go over it with you first." A reason, not a warning.

  3. Says what's on file

The renewal date and the new premium the insurer sent. She doesn't explain why it went up; the broker does.

  4. Asks what's changed

A new roof, a finished basement, a teenager driving, a car sold, working from home. Each one can change the picture for the broker.

  5. Books the review

A time with their own broker, by phone or in the office, before the renewal date. A client who's happy to renew is noted and thanked.

  6. Keeps the broker ready

The broker sees the renewal, the increase and what the client said before the call, so there's time to shop it.

Example call

  1. AI agentHi Mrs. Lavoie, it's Emma from Lakehead Insurance Brokers. Is now a good time? It's about your home and auto renewal in March.
  2. CustomerOh dear. Is it going up again?
  3. AI agentThe home premium came in at 2,140 for the year, up from 1,810. Andrea wanted to go over it with you before the notice arrives and see if anything's changed.
  4. CustomerWell, we replaced the roof last summer. Does that matter?
  5. AI agentThat's exactly the kind of thing Andrea wants to know. Do you remember the month, and was it shingles?
  6. CustomerAugust. Shingles, yes.
  7. AI agentThank you. Andrea has Tuesday at 10 or Wednesday at 4 to go through it. ... Tuesday at 10. I'll text you the confirmation, and if you have the roofer's invoice, have it handy.

After the call: Andrea has Tuesday at 10 with the renewal, the 330-dollar home increase and "new shingle roof, August" on the file. She updates the roof year with the insurer before the call and shops the bundle.

What your team gets

  • Reviews booked weeks before renewals with big increases
  • Life changes noted for the broker before the call
  • Clients happy to renew marked and thanked
  • A list of households most likely to leave, by renewal date
  • Retention by broker, renewal month over month
Set up with you: The team sets up a connection to your brokerage management system and insurer downloads, and sets with you the increase that triggers a call, how far ahead to call, and calling hours.

Questions

Does it explain why the premium went up?

No. It reads the renewal date and the new premium on file, and books the broker, who explains it and shops options.

What if the client wants to cancel?

She listens, notes the reason, and books their broker or puts them through. She never argues.

Can it call commercial renewals too?

Yes, with their own list, timing and broker.

How far ahead does it call?

Whatever you choose. Many brokerages like 45 to 60 days, so there's time to remarket.
