Contractor certificates before Monday's job
A roofer needs a certificate naming the general contractor before he's allowed on site Monday. If it's a repeat holder, it's on its way in a minute. If it's new, commercial lines has every detail and the deadline.
A commercial client or their contractor calls for a certificate of insurance.
Finds the policy, takes the certificate holder and job details, sends or routes it.
Repeat certificates sent on the call, new ones queued with the deadline.
How it works
- Finds the business
By company name and caller. A general contractor calling for a sub's certificate is matched to the client they name.
- Takes the holder
The certificate holder's legal name and address, the job site, and whether they need to be added as an additional insured.
- Gets the deadline
When the job starts and when the holder needs it in hand. A Monday start called in on a Friday is marked urgent.
- Sends repeat certificates
If the client has issued a certificate to that holder before with the same wording, the current one goes out by email on the call.
- Queues the new ones
New holders, added insureds or special wording go to commercial lines with everything they need, and the client hears when to expect it.
- Confirms it went
Once issued, the client and the holder get it by email, and the client gets a text saying it was sent.
Example call
- CustomerHi, it's Dev from Northshore Roofing. Bradbury Construction needs our certificate before we start Monday.
- AI agentHi Dev. I see we sent Bradbury a certificate in May for the Barrie job. Is this the same company and address, or a new project?
- CustomerSame company, new site in Innisfil.
- AI agentDo they need to be named as an additional insured on this one, or the same wording as before?
- CustomerSame as before, they just want the new address on it.
- AI agentThat's a quick one. I've sent it to commercial lines with the Innisfil address and a Monday start, marked for today. You and Bradbury will both have it by email this afternoon.
After the call: Commercial lines gets a certificate request for Northshore Roofing with the holder, the new Innisfil site and "needed before Monday". It's issued by 2 p.m., emailed to Bradbury and Dev, and Dev gets a text that it went.
What your team gets
- Certificate requests with the holder, site and deadline
- Repeat certificates sent while the client is on the phone
- New holders and added insureds queued for commercial lines
- Urgent starts flagged so a job isn't held up
- A record of every certificate issued and to whom
Questions
Can it add an additional insured?
No. It takes the request and the details, and a commercial lines broker adds them. Certificates with the same wording as before can go out on the call.
Who can ask for a certificate?
The client, or a holder the client names. She confirms with the client before sending to anyone new.
What if the job starts tomorrow?
It's marked urgent and commercial lines gets a text right away, so it's issued the same day.
