Inbound: the customer calls

Flooded basements and collisions sent to a broker

A client is standing in two inches of water at 6 in the morning. She answers calmly, takes down what happened, and either puts them through to a broker or gives them their insurer's claims line for that policy.

When it starts

A client calls about water, fire, a break-in, a collision or storm damage.

What the agent does

Asks what, when and where, checks everyone is safe, transfers or gives the claims line.

What your team gets

A loss note on the client file, photos attached, and a broker who knows before they call.

How it works

  1. Checks they're safe

Anyone hurt? Is the water still coming in, or the power on near it? Anyone in danger is told to call 911 first.

  2. Finds the policy

Confirms the client and the property or vehicle, and sees which insurer holds that policy.

  3. Takes the first notice

What happened, when, where, what's damaged, whether police were called. In the client's own words.

  4. Says what to do now

From your instructions: shut off the water main, take photos before cleaning up, keep the receipts for the restoration company.

  5. Gets them to the right place

During the day, a warm transfer to a broker with a private summary. At night, the insurer's 24-hour claims number for that policy, read slowly and texted.

  6. Files it for the morning

A loss note on the client file, with the photos the client texts in, and a message to their broker so the follow-up call happens first thing.

Example call

  1. CustomerHi, there's water all over my basement. I think the sump pump died overnight.
  2. AI agentI'm sorry, that's a rough way to start the day. Is anyone hurt, and is the water near any outlets or the panel?
  3. CustomerNo, everyone's fine. It's just the carpet and the storage room.
  4. AI agentGood. I have your home policy at 9 Lakeview Drive in Orillia. It's with your insurer's claims team at this hour. I'll text you their 24-hour number now.
  5. CustomerOkay. Should I start pulling the carpet up?
  6. AI agentTake photos of everything first, then the claims team will tell you about cleanup. Text the photos to this number too and I'll put them on your file for Mark. He'll call you this morning.

After the call: The insurer's claims number goes out by text at 6:04 a.m. A loss note with the sump pump failure, the rooms affected and five photos sits on the client's file, and Mark has a message to call when the office opens.

What your team gets

  • A loss note on the client file in the client's words
  • Photos texted by the client saved with the call
  • Daytime claims warm-transferred with a private summary
  • The right insurer's claims line given at night
  • A morning list of every overnight loss for the brokers
Set up with you: The team loads your insurers' claims numbers and your first-notice questions, sets up a connection to your brokerage management system so she sees which insurer holds each policy, and sets which broker hears about which claims.

Questions

Will it tell a client they're covered?

No. Coverage questions go to the broker and the adjuster. She takes the details and gets the client to the people who decide.

What happens in a storm when everyone calls at once?

Every caller is answered at the same time. Anyone in danger is told to call 911, and the rest are logged in the order they matter.

Can it report the claim to the insurer?

It gives the client the insurer's claims line and puts the full notice on your file. Your broker follows up with the insurer as they normally would.

Can clients send photos?

Yes. They text photos to your office number and they're saved with the call and the client file.
