Inbound: the customer calls

New car added before the dealer pickup

A client picks up a new car tomorrow and the dealer wants proof of insurance. The change is written up in full on the call, a broker confirms it, and the pink slip is on their phone before they reach the lot.

When it starts

A client calls to add, replace or remove a vehicle, or to add a driver.

What the agent does

Finds the policy, takes the VIN, lienholder and date, writes the change request.

What your team gets

A complete change request on the policy, and a pink slip texted once it's done.

How it works

  1. Finds the policy

By phone number and name, then confirms the address on file before it talks about anything on the policy.

  2. Takes the vehicle details

VIN, year, make and model, whether it's financed or leased and who the lienholder is, and whether it replaces a car on the policy.

  3. Gets the date that matters

The pickup date and time is the effective date. A pickup tomorrow morning is marked urgent for the personal lines team.

  4. Catches the added driver

A son with a new G2 or a spouse who will drive it is noted with licence details, and the broker is told it needs a conversation.

  5. Writes the change for a broker

The request goes on the policy with everything a broker needs to process it. She tells the client plainly that a broker confirms the change.

  6. Sends the pink slip

Once the broker processes it, the new liability slip is texted and emailed to the client, with a copy ready to show the dealer.

Example call

  1. CustomerHi, it's Owen Cardinal. I'm picking up a new Tucson at 10 tomorrow and the dealer says they need insurance.
  2. AI agentCongratulations, Owen. I have your policy here at 41 Birch Crescent. Is the Tucson replacing the Elantra?
  3. CustomerYes, I'm trading it in.
  4. AI agentGot it. Do you have the VIN, and is it financed through the dealer?
  5. CustomerFinanced with Hyundai. The VIN is KM8JB... I'll read it to you.
  6. AI agentThanks, I have it. A broker has to confirm the change, so I've marked it for tomorrow at 10 and sent it to Priya now. You'll get the new pink slip by text this afternoon to show the dealer.

After the call: Priya sees an urgent change on Owen's policy: Elantra off, Tucson on at 10 a.m. tomorrow, VIN and lienholder entered. She processes it after lunch, and the new pink slip goes to Owen by text and email.

What your team gets

  • Change requests on the policy with VIN, lienholder and effective date
  • Same-day pickups marked urgent for personal lines
  • New drivers flagged for a broker conversation
  • Pink slips texted and emailed once the change is done
  • Fewer callbacks asking clients for the VIN
Set up with you: The team sets up a connection to your brokerage management system and document store, sets which changes go to which team, and decides with you when a change needs a broker on the phone.

Questions

Does it bind the new car?

No. It takes every detail and the effective date, and a licensed broker confirms the change. It tells the client that clearly.

What if the client needs the slip in an hour?

Same-day pickups go to the personal lines team as urgent, and a client at the dealer can be warm-transferred to a broker.

Can it send a slip for a car already on the policy?

Yes. Lost or expired pink slips for vehicles already covered are texted right away from the documents on file.

What about address changes and removed cars?

Those are written up the same way, with the date, and sent to a broker to process.
