New hire laptops and accounts ready for Monday
A client's new hire starts Monday and the office manager calls on Thursday afternoon. Everything a tech needs to build the laptop and accounts is on the ticket before the call ends, and the desk-side setup is booked.
A client calls to set up, move or offboard a user.
Takes the start date, role, access and equipment, opens the ticket, books the visit.
A complete onboarding ticket and a setup on a tech's schedule.
How it works
- Knows the client
By number and name, with the office's agreement and the authorized contacts who can ask for new accounts.
- Takes the new person
Name, title, start date, who they report to, and which existing employee they should be set up like.
- Lists the access
Email and distribution lists, shared drives, the practice or accounting software, the phone extension, and building access cards if you manage them.
- Checks the hardware
A new laptop or a reused one, monitors, a dock, a headset. If stock is needed, the order is flagged so it arrives in time.
- Books the setup
A desk-side or remote session on the start date, so the new hire is logged in on day one.
- Covers the leavers too
An employee leaving is taken with the last day and what to do with their mailbox and files, marked for the right time.
Example call
- CustomerHi, it's Carla at Bayview Dental. We've got a new hygienist starting Monday. Can you set her up?
- AI agentOf course, Carla. What's her name, and should she be set up like anyone on the team now?
- CustomerAmira Haddad. Same as Jen, the other hygienist.
- AI agentGot it, so email, the shared clinical folder and the dental software, like Jen. Does she need her own computer, or is she using the one in operatory three?
- CustomerOperatory three. She just needs a login.
- AI agentPerfect. I've opened the ticket for Monday, and Tom will come by at 8 to get her logged in before patients. I'll text you the ticket number.
After the call: An onboarding ticket opens under Bayview Dental: Amira Haddad, hygienist, start Monday, mirror Jen's access, using operatory three. Tom builds the accounts Friday and is booked on site Monday at 8.
What your team gets
- Onboarding tickets with the role, access and start date
- Requests only from contacts allowed to make them
- Hardware orders flagged in time for the start date
- Setups booked on a tech's schedule for day one
- Offboarding timed to the employee's last day
Questions
Can anyone at the client ask for a new account?
Only the contacts the client has authorized. Others are thanked and the request goes to an authorized contact to confirm.
Does it create the accounts?
No. Your tech builds them from the ticket. She takes the details and books the setup.
What about someone leaving on bad terms?
It's marked urgent and sent to the help desk right away, so access can be removed on time.
