Realtors and lawyers told where the file stands
The realtor who sends you a dozen deals a year calls to ask if her buyers are firm. She hears the stage of the file on the first ring, and your agent never has to break off a lender call to tell her.
A realtor, lawyer or the client calls about where a mortgage file is.
Recognizes the partner, finds the file, reads the stage, takes the message or transfers.
A partner who got an answer, and a note on the file of who asked and what they need.
How it works
- Knows the partner
By name or number: the realtors, lawyers and planners who refer to you. New ones are asked which client they're calling about.
- Finds the file
By the client's name or the property address, and confirms the partner is on that deal before saying anything.
- Reads the stage
Documents received, submitted to the lender, conditions out, approved, instructions sent to the lawyer. The stage, not the numbers.
- Takes what they need
A lawyer asking for the lender's instructions or a closing date change gets it noted for the closing coordinator right away.
- Puts them through
A realtor whose firm-up is today, or a lawyer closing tomorrow, is warm-transferred to the agent or coordinator.
- Remembers who sent it
Every call from a partner is logged on the file, so you know who's asking and how often.
Example call
- CustomerHi, it's Sandra Kowalski from Royal Oak Realty. Checking on the Patels' file, the Barrhaven townhouse.
- AI agentHi Sandra. Their file is with the lender, approved yesterday afternoon, with one condition left: the appraisal.
- CustomerOkay. Do we know when that's booked? Their condition is up Thursday.
- AI agentThe appraiser is scheduled for tomorrow at 11. Daniel expects to have it back Wednesday. Do you want me to have him text you when it's in?
- CustomerYes please, that'd be great.
- AI agentDone. He'll text you the minute it's cleared. Thanks for sending the Patels our way.
After the call: Sandra's call is logged on the Patels' file, and Daniel has a note to text her when the appraisal clears. When it does on Wednesday, she gets the text and waives the condition that afternoon.

Questions
What does it share with a realtor?
The stage you choose: received, submitted, approved, conditions out. Rates, income and amounts stay with the agent.
How does it know the realtor is on the deal?
The realtor and lawyer are on the file. Anyone not listed is asked for the client's name and given a callback from the agent.
Can the borrower call for the same thing?
Yes. The borrower hears the stage and what's still needed from them.
