Inbound: the customer calls

Birthday and couples spa packages planned on the call

Most spa days are planned by someone else: a sister, a partner, a friend. The agent asks a few questions, suggests the packages that fit from your menu, and books two people side by side without a callback.

When it starts

A caller wants a spa day, a package, a couples massage or a gift visit for someone else.

What the agent does

Asks about the occasion and the guest, suggests packages from your menu, books rooms and therapists.

What your team gets

A package booked across the right rooms and therapists, with the occasion and first-visit notes.

How it works

  1. Answers softly

In the spa's name, calm and unhurried, while reception is checking in a guest in a robe. No ringing phone in the quiet zone.

  2. Asks about the guest

The occasion, whether she's been to a spa before, massage or facial, and how long they'd like to stay.

  3. Suggests from your menu

Two packages that fit, with what's in each, how long and the price from your menu. Nothing it hasn't been given.

  4. Books rooms and people

Side-by-side couples room, two therapists at the same time, the facial after the massage, and lounge time between.

  5. Notes the health questions

Pregnancy, allergies to oils, a recent injury. Each goes on the booking under your intake rules for the therapist to read first.

  6. Texts the plan

Times, treatments, what to wear, arrive twenty minutes early, parking, and your cancellation policy.

Example call

  1. AI agentGood evening, Cedar House Spa, this is Emma. How can I help?
  2. CustomerI want to get a spa day for my sister's birthday. She's never been. What do you have?
  3. AI agentWhat a nice gift. Would you be going with her, or is it just for her?
  4. CustomerWith her, I think.
  5. AI agentThen two fit nicely. The Unwind for Two is a sixty-minute side-by-side massage with lounge time, and the Glow Day adds a forty-five-minute facial after. Both are on our menu, 310 and 480 for two.
  6. CustomerThe Glow Day sounds great. Is the 14th open?
  7. AI agentThe 14th at 1 o'clock works, side by side. Does either of you have an allergy to nuts or oils, or is anyone pregnant?
  8. CustomerNo, nothing.
  9. AI agentLovely. You're booked for the Glow Day on the 14th at 1. I'll note it's her first visit and her birthday, and text you what to bring.

After the call: Two therapists and the couples room are held at 1:00 on the 14th, with facials following. The booking says "birthday, first spa visit", and the caller has a text with arrival time, what to wear and parking.

What your team gets

  • Packages booked across rooms and therapists in the right order
  • The occasion and first-visit notes on the booking
  • Health answers recorded under your intake rules
  • Arrival and what-to-bring texts for every guest
  • Evening and weekend gift bookings that used to go to voicemail
Set up with you: The team loads your packages, treatment times and intake rules, sets up a connection to your spa software (Mindbody, Zenoti, Boulevard, Booker or Vagaro) so it sees rooms and therapists, and sets your cancellation policy.

Questions

Can it sell the package as a gift card instead?

Yes. It texts the link to buy a gift card for that package, or books it now and holds the payment for check-in, under your rules.

What if someone is pregnant?

It follows your intake rules, such as which treatments you offer during pregnancy, and notes it for the therapist. It doesn't give health advice.

Can it pick the therapist?

Yes, if the caller asks for one. Otherwise it books any therapist who does the treatment, or the gender they prefer.
