First-visit prep calls so new guests arrive calm
A first-time guest who doesn't know what to wear or when to undress arrives tense. The day before, the agent calls with what to expect, finishes the intake questions, and answers whatever she was too shy to ask.
A guest booked tomorrow who has never visited before, or hasn't finished the intake form.
Confirms the visit, explains arrival and the treatment, asks the intake questions, answers worries.
A confirmed guest with her intake complete before she walks in.
How it works
- Finds tomorrow's first-timers
Each afternoon, guests booked for tomorrow with no past visits, or with intake answers still missing.
- Confirms the time
The treatment, the time and the address, and a move to another time if tomorrow no longer works.
- Explains what happens
Arrive twenty minutes early, robe and slippers are provided, what to wear under the robe, and that she can ask for more or less pressure any time.
- Asks the intake questions
Allergies, pregnancy, skin conditions, recent sunburn or injury. The answers go to the therapist, and anything your rules flag goes to the spa manager.
- Answers the worries
Can she keep her underwear on, does she have to talk, what if she falls asleep. Plain, kind answers from your own guide.
Example call
- AI agentHi Claire, it's Emma from Cedar House Spa. Just calling ahead of your massage and facial tomorrow at 1. Is now an okay time?
- CustomerYes. Honestly, I've never done this. What do I wear?
- AI agentLots of guests ask that. We give you a robe and slippers. For the massage, most people undress to their comfort level, and you're always covered with a sheet. Whatever feels right is fine.
- CustomerOkay, that helps. Do I have to talk the whole time?
- AI agentNot at all. Many guests just close their eyes. Your therapist, Anna, will check the pressure at the start. Any allergies or skin sensitivity she should know about?
- CustomerMy skin gets red with strong scents.
- AI agentI'll note that for the facial so she uses unscented products. Please come at 12:40, and I'll text you directions and parking.
After the call: Anna sees "first visit, sensitive to strong scents, use unscented" on Claire's facial, the booking shows confirmed, and Claire has directions and arrival time by text.
What your team gets
