Inbound: the customer calls

Running-late calls handled with your late policy

The client stuck in traffic calls, and the stylist with her hands in foils doesn't have to answer. The agent checks what fits, applies your late policy kindly, and tells the stylist what changed.

When it starts

A client calls to say they're running late, or needs to move today's or this week's appointment.

What the agent does

Checks the stylist's day, applies your late rules, trims or moves the booking, and tells the stylist.

What your team gets

A stylist who knows before the client arrives, and a schedule that still makes sense.

How it works

  1. Finds the appointment

By name or phone number, and says it back: the stylist, the service and the time, so there's no mix-up between two Sarahs.

  2. Checks what still fits

Fifteen minutes late for a cut may be fine. Fifteen minutes late for a full colour may run into the next client. The agent looks at the stylist's next booking before it promises anything.

  3. Applies your late policy

Your rules, said warmly: keep the colour and skip the blowout, shorten to a gloss, or move to a later spot today. Never a lecture.

  4. Moves it when it won't fit

Two new times with the same stylist, the old slot opens up, and any late-cancel fee on your policy is noted on the booking for the front desk.

  5. Tells the stylist

A text to the stylist or the front desk tablet: who's late, by how much, and what was agreed. No one learns it when the client walks in.

Example call

  1. CustomerHi, it's Nadia, I'm booked with Priya at 2. I'm stuck on the 401, maybe twenty minutes late.
  2. AI agentOh no, the 401. I see you with Priya at 2 for a root touch-up and a cut. Priya has someone at 4, so twenty minutes still works if we do the cut a little quicker and skip the round-brush blowout. Is that okay?
  3. CustomerTotally fine, I just need the roots done.
  4. AI agentGreat. I'll let Priya know you'll be there around 2:20 and that it's roots and a quick cut today.
  5. CustomerThank you so much.
  6. AI agentDrive safe. She'll be ready for you.

After the call: Priya gets a text saying Nadia arrives about 2:20, roots and a cut, blowout skipped, and the booking shows the change with the time of the call.

What your team gets

  • Late arrivals noted on the booking with the new arrival time
  • Stylists told by text before the client walks in
  • Moves booked with the same stylist and the old slot reopened
  • Late-cancel and no-show fees noted under your policy for the front desk
Set up with you: The team writes your late and cancellation policy into the agent, sets up a connection to your salon booking software so it sees each stylist's day, and sets who gets the late texts: the stylist, the front desk or both.

Questions

Will it charge a late-cancel fee?

It explains your policy and notes the fee on the booking. Charging the card on file stays with your front desk, or your booking software if you have it set to do that.

Who decides if a late client still gets the full service?

Your rules do. You tell it, by service, how late is too late, and what it can offer instead, and it follows them.

Can clients reschedule at night?

Yes. A client who realises at 10 p.m. that tomorrow won't work can move to a new time with the same stylist on the call.
