Outbound: the agent calls

Saturday cancellations offered to the waitlist

A Friday-night cancellation used to mean an empty chair on Saturday morning. Now the clients who asked for that stylist and that day are called within minutes, and the first yes gets it.

When it starts

A booking cancels or moves, leaving an opening on a stylist's column.

What the agent does

Calls waitlisted clients who fit the time and service, books the first yes, tells the rest it's gone.

What your team gets

A full column, the stylist told, and a waitlist that stays current.

How it works

  1. Spots the opening

A cancellation, a reschedule or a no-show leaves time on a stylist's column. The agent sees how long the gap is.

  2. Picks who fits

Clients waiting for that stylist or that day, whose service fits the gap: a ninety-minute hole goes to a cut and gloss, not a full balayage.

  3. Calls in order

One client at a time, in the order they asked, with a text if they don't pick up. The offer is held a few minutes, then goes to the next.

  4. Books the yes

The client gets the spot and a confirmation, and their waitlist entry closes. Anyone who replies after hears it's been taken and stays on the list.

  5. Tells the stylist

The stylist sees who's coming and what for, so the chair is set when they arrive.

Example call

  1. AI agentHi Olivia, it's Emma from Birch and Bloom. You asked to hear if Jess had a Saturday morning open. She just had a 9:30 free up. Want it?
  2. CustomerYes! For my cut and gloss?
  3. AI agentYes, cut and gloss, about ninety minutes. You're booked Saturday at 9:30 with Jess.
  4. CustomerAmazing, thank you.
  5. AI agentI'll take you off the waitlist and text you the confirmation now. See you Saturday.

After the call: Olivia fills Jess's 9:30 within minutes of the cancellation, her waitlist entry closes, and the next client on the list is told the spot has gone.

What your team gets

  • Cancelled spots filled from the waitlist within minutes
  • Only clients whose service fits the gap are called
  • Stylists told who's in the new slot and for what
  • Waitlist entries closed as soon as they're booked
  • A weekly count of openings filled and chair time saved
Set up with you: The team sets up a connection to your salon booking software and its waitlist, and sets how long an offer is held, how many clients are called per opening and the hours it calls.

Questions

Call or text?

Both, the way you choose. Many salons text first and call when a weekend spot opens close to the time.

How does a client get on the waitlist?

When the agent can't find a time they like, it offers to add them for a stylist, a day or both, and they're called when it opens.

What if two clients say yes?

The first one booked gets it. The second hears it's gone, kindly, and stays on the list.
