Inbound: the customer calls

Grooms booked by breed, size and matting

Every groomer has a dog on the table and the dryer is roaring. The caller with a matted sixty-pound doodle is still answered, booked into the longer slot with the groomer who does big dogs, and told about the shave-down before drop-off, not at pickup.

When it starts

An owner calls to book a groom, a bath, a nail trim or a puppy's first visit.

What the agent does

Asks breed, weight, coat and temperament, picks the right groomer and length, explains matting charges.

What your team gets

A groom on the right groomer's table with breed, weight, coat and behaviour noted.

How it works

  1. Answers over the dryers

Nobody puts down a wet dog to grab the phone. Calls are answered at 7:30 drop-off and in the middle of the afternoon alike.

  2. Asks about the dog

Breed, rough weight, when they were last groomed, where the mats are, and anything about nerves, nipping or sore hips.

  3. Books the real time

A matted doodle gets the long slot, a nail trim gets ten minutes. It reads the grooming book and offers two times.

  4. Picks the right groomer

Big dogs, cats, hand-scissoring or nervous rescues go to the groomer you've set for them. A regular's favourite groomer comes first.

  5. Explains matting up front

The dematting charge and when a shave-down is kinder, in your wording, so nobody is shocked at pickup.

  6. Confirms and reminds

A text with the time, the drop-off window and what to bring, plus a reminder the day before.

Example call

  1. CustomerHi, my doodle Murphy is badly matted. Can you fit him in this week?
  2. AI agentWe'll find something. Is it all over, or mostly behind the ears and in the legs? And roughly how big is he?
  3. CustomerPretty much everywhere. About sixty pounds.
  4. AI agentThanks. With mats all over, Kayla usually shaves short so it doesn't hurt him, and there's a 25-dollar dematting charge on top of the groom. She has Thursday at 8 with the longer time.
  5. CustomerShort is fine. Thursday works.
  6. AI agentBooked. Is Murphy okay with nail trims and dryers, or anything Kayla should know?
  7. CustomerHe hates his back feet being touched.
  8. AI agentGood to know, I'll put that on the booking. Drop-off is 7:45 to 8:15. I'll text you the details.

After the call: Kayla's Thursday 8:00 shows Murphy, doodle, about sixty pounds, matted all over, shave-down agreed, dematting charge explained, sensitive back feet. The owner has a confirmation text and a reminder is set for Wednesday.

What your team gets

  • Grooms sized to the dog: breed, weight and coat condition
  • Matting and shave-down explained before drop-off
  • Behaviour notes on the booking for the groomer
  • Regulars booked with their favourite groomer
  • Confirmation and day-before texts to owners
Set up with you: The team loads your services, breed and size times, matting policy and groomers' specialties, and sets up a connection to your grooming software (Gingr, MoeGo, PetExec, DaySmart Pet or Kennel Connection) for the book and pet profiles.

Questions

Will it quote a groom price?

It gives the prices on your list by breed and size, and your dematting charge. If a price depends on seeing the coat, it says the groomer confirms at drop-off.

Can it book cats?

If you groom cats, yes, with the groomer you've set for them and the time you give a cat.

What about an aggressive dog?

It notes what the owner says and books with the groomer you've chosen for difficult dogs, or sends the booking to the manager to approve if that's your rule.
