Outbound: the agent calls

Expiring vaccines chased before the daycare day

Nobody wants to turn a dog away at 7:30 because bordetella lapsed last week. Owners hear about it two weeks before, with time to see their vet, and the new record arrives by text before the dog does.

When it starts

A dog's vaccine on file expiring before its next booked day or stay.

What the agent does

Calls the owner, says which vaccine and when, collects the new record by text.

What your team gets

Current records on file and no dogs turned away at the door.

How it works

  1. Finds the lapsing records

Each week: dogs whose rabies, distemper-parvo or bordetella expires before their next booking.

  2. Calls in good time

Two weeks before, or whenever you choose, so the owner can get to the vet.

  3. Says exactly what's due

Which vaccine, the date on file and the booking it affects. It never advises on the vaccine itself.

  4. Collects the record

The owner texts a photo of the new record to the shop number and it lands on the dog's profile for staff to check.

  5. Moves the booking if needed

If the vet can't see the dog in time, it moves the daycare day or stay to after the appointment.

Example call

  1. AI agentHi Ms. Adeyemi, it's Emma from Wag and Wash. Quick heads-up about Rocky. His bordetella on file expires on the 12th, and he's in daycare on the 15th.
  2. CustomerOh, I had no idea. I'll call the vet.
  3. AI agentThanks. Once he's had it, text a photo of the record to this number and we'll update his file.
  4. CustomerAnd if the vet can't see him before the 15th?
  5. AI agentJust call or text us and I'll move his day to after the appointment. No charge for moving it.
  6. CustomerPerfect, thanks for catching that.

After the call: Rocky's profile shows the call and "owner booking vet". The new bordetella record arrived by text on the 10th, the front desk checked it, and his daycare day on the 15th went ahead.

What your team gets

  • Owners called before a vaccine lapses
  • New records texted in and attached to the dog
  • Bookings moved when the vet can't fit them in
  • No dogs turned away at drop-off for paperwork
Set up with you: The team sets up a connection to your boarding and daycare software for vaccine dates and bookings, and sets how far ahead the calls go out and which vaccines you require.

Questions

Does it tell owners which vaccines to get?

It says which ones your shop requires and which is lapsing. Anything about the vaccine itself is for their vet.

Who checks the new records?

Your team does. The photo lands on the dog's profile marked to check.

Call or text?

Either. Many shops text the first reminder and call only when the owner doesn't reply.
