Inbound: the customer calls

Christmas and March break boarding booked

Christmas, March break and summer long weekends fill weeks ahead, and the calls start in October. Each caller hears what's open, gets the stay booked with feeding and medication written down, and knows what the dog needs before drop-off.

When it starts

An owner calls about a boarding stay, a daycare day or a first daycare visit.

What the agent does

Checks open runs or daycare space, books the stay, takes feeding and medication notes, explains vaccines and assessments.

What your team gets

A stay on the schedule with food, meds and emergency contact, and a waitlist for full dates.

How it works

  1. Checks what's open

Runs, suites or daycare space for the exact dates, by dog size, and whether two dogs can share.

  2. Books the stay

Drop-off and pickup times, the holiday rates you've set, and the deposit your policy asks for, by text link.

  3. Writes down the care

Food, how much and when, medications and doses as the owner says them, the vet's name and an emergency contact.

  4. New dogs get an assessment

A dog new to daycare or boarding is booked for the temperament assessment you require before the first stay.

  5. Gives the vaccine rules

Which vaccines you require and that proof is needed before drop-off. Photos of the records can be texted to the shop number.

  6. Full dates get a waitlist

It says plainly when Christmas is full and adds them to the waitlist for that week.

Example call

  1. CustomerHi, do you have boarding over Christmas? Two small dogs, we're going to Moncton.

  4. AI agentI have a shared small suite for the 23rd to the 30th. The holiday rate is 58 dollars a night for both, and there's a one-night deposit to hold it.
  5. CustomerGreat, book it. Pepper takes a pill for her thyroid in the morning.
  6. AI agentI've noted Pepper's thyroid pill each morning. Please bring it in the bottle. We also need rabies, distemper-parvo and bordetella records for both. You can text photos to this number.
  7. CustomerI'll send them tonight.

After the call: The shared suite is held for the 23rd to the 30th with the deposit link sent, Pepper's morning thyroid pill is on the care sheet, and both dogs show vaccine records still to come. The photos arrived that evening for the front desk to check.

Questions

Will it take a dog with no vaccine proof?

It books the stay and says plainly that proof is needed before drop-off, in your wording. Your team checks the records.

Can it handle medications?

It writes down what the owner says and asks them to bring medication in its bottle. It never advises on doses.

What happens when Christmas is full?

It says so, adds the caller to the waitlist and calls them if a run opens.
