Inbound: the customer calls

Wedding date checks that end in a booked consult

Couples call on Saturday afternoons, which is exactly when you're shooting. Now they hear right away whether their date looks open, get answers on coverage and travel, and leave with a consult call booked before they phone the next photographer.

When it starts

A couple calls about a wedding or event date, often on a weekend or in the evening.

What the agent does

Checks the date, answers packages, coverage and travel from your information, books a consult call.

What your team gets

A consult on your calendar with the date, venue, guest count and coverage they want.

How it works

  1. Answers while you shoot

From morning prep to the last dance, the studio line is picked up in your studio's name.

  2. Checks the date

Against your booked and held dates. It says a date looks open, never that it's theirs, because the contract and retainer do that.

  3. Learns the day

Venue and town, guest count, how much of the day they want covered, and whether they want a second shooter or engagement photos.

  4. Answers from your packages

Hours of coverage, what each package includes, travel fees by area, albums. Nothing you haven't priced.

  5. Books the consult

A video call or studio visit in the times you keep for consults, with a confirmation text and your pricing guide.

  6. Sends you the brief

A text and email with everything they said, so you can read it between the ceremony and the reception.

Example call

  1. CustomerHi, are you free the second Saturday in August next year? It's August 8th. We're getting married in Canmore.
  2. AI agentCongratulations! August 8th looks open right now. Dates are only held once the contract and retainer are in, but I can book you a call with Maya. How many guests are you expecting?
  3. CustomerAbout a hundred and twenty. We'd want ceremony through first dance.
  4. AI agentThat's her eight-hour package. Canmore's inside her travel area from Calgary, so there's no travel fee. She has Thursday at 7 p.m. for a half-hour video call.
  5. CustomerPerfect. Does she do engagement shoots too?
  6. AI agentShe does, and they're included in the eight-hour package. I'll book Thursday and text you her wedding guide.

After the call: Maya read the brief between the ceremony and the reception: August 8th, Canmore, about 120 guests, ceremony to first dance, interested in an engagement shoot. The couple has Thursday's consult and her wedding guide by text.

What your team gets

  • Wedding enquiries answered on your busiest shooting days
  • Dates checked against your booked and held dates
  • Consults booked with venue, guests and coverage noted
  • Your pricing guide texted after every enquiry
  • Each enquiry's brief by text and email as it comes in
Set up with you: The team loads your packages, travel areas and consult times, and sets up a connection to your studio software (HoneyBook, Sprout Studio, Studio Ninja or Táve) for your calendar, booked and held dates, and enquiries.

Questions

Can it promise a couple their date?

No. It says the date looks open and books a consult. The date is held only when your contract and retainer are in.

Will it give prices?

Only what you choose to share, like starting package prices. Some photographers prefer the guide by text, and it does that instead.

What if a couple wants to talk to me now?

If you're free, it warm-transfers them with a short summary first. If you're shooting, the details reach you by text and email right away.
