Inbound: the customer calls

Custom tattoo enquiries matched to the right artist

The phone rings while every artist is gloved up and three hours into a line. The caller still leaves with a consult booked with the artist whose portfolio fits their idea, and the artist gets the whole brief before they meet.

When it starts

Someone calls about a new tattoo, any hour, often while every machine in the studio is running.

What the agent does

Asks the questions an artist would, matches the style to an artist, books a consult and collects reference photos by text.

What your team gets

A consult on the artist's book with style, size, placement and reference images attached.

How it works

  1. Picks up mid-session

Nobody puts down a machine to grab the phone. The call is answered in the studio's name, and as many people can call at once as want to.

  2. Asks what an artist would ask

Style, rough size, placement, colour or black and grey, first tattoo or not, and whether it's a cover-up or rework of old ink.

  3. Matches the work to an artist

From the style list each artist gives: who does fine-line botanicals, who does American traditional, who takes cover-ups and who doesn't. It never promises an artist will take a design.

  4. Books the consult

Reads the artist's open consult times and offers two. If their books are closed, it says so plainly and adds the caller to that artist's waitlist.

  5. Collects the references

Invites the caller to text their reference images and a photo of the spot to the studio number. They land on the booking for the artist.

  6. Explains the deposit

Gives the studio's deposit amount, what it holds and when it's lost, then texts the link to pay it. A card number is never taken on the phone.

Example call

  1. CustomerHi, I want a fine-line floral piece on my forearm. Who does that kind of thing?
  2. AI agentSofia and Kai both do fine-line botanicals. Sofia's books are open now, Kai's are closed until spring. Is it black and grey, or colour?
  3. CustomerBlack and grey. About the length of my hand, maybe wrapping a little.
  4. AI agentThat's right in Sofia's wheelhouse. Is this your first tattoo, and is any of that spot already inked?
  5. CustomerFirst one. Clean skin.
  6. AI agentLovely. I have a consult with Sofia Wednesday at 6 or Saturday at 11:30. Which works?
  7. CustomerWednesday.
  8. AI agentYou're booked. Text your reference photos to this number and they'll be on your booking for her. The 100-dollar deposit link is coming in the same text, and it goes toward the tattoo.

After the call: Sofia's Wednesday consult shows "fine-line floral, black and grey, hand-length, inner forearm with a slight wrap, first tattoo", with the three reference photos the caller texted that night. The deposit is marked paid when the link is used.

What your team gets

  • Consults on the right artist's book, with style, size, placement and colour noted
  • Reference images and placement photos attached to the booking
  • Deposits explained from your policy and paid by text link
  • A waitlist per artist for callers whose artist is closed
  • A summary and recording of every enquiry in the portal
Set up with you: The team loads each artist's styles, what they won't tattoo, consult length and your deposit policy, and sets up a connection to your booking software (Square Appointments, Booksy, Fresha or DaySmart) and your payment links. You hear test calls before it answers your line.

Questions

Can it price a custom tattoo?

It gives the numbers you choose to share, like your shop minimum or an artist's hourly rate. A custom piece is priced by the artist at the consult, and it says so.

What if a caller wants an artist whose books are closed?

It tells them honestly when that artist usually opens, adds them to the artist's waitlist, and offers another artist who does the same style if they'd rather not wait.

Will it judge someone's idea?

No. It takes the idea down in the caller's own words and passes it to the artist. Whether a design is taken on is always the artist's call.

Does it answer at 1 in the morning?

Yes. The person who finally decides on a piece late at night can book a consult or leave a full enquiry for the artist.
