Books-open day: the artist's waitlist called first
An artist posts that their books are open and the phone and inbox explode. This time the people who waited months hear first, in the order they joined, and the new dates fill in an afternoon without anyone at the counter.
An artist releases a block of new consult or session dates.
Calls that artist's waitlist in order, offers the dates, books them and texts the deposit link.
A filled book, deposits coming in, and a list of who passed and why.
How it works
- The artist releases dates
They open, say, eight Saturdays in March. The agent sees the new times on their book and the waitlist behind them.
- Calls in the order people joined
The person who's waited longest gets the first call. It reminds them of the idea they described so they don't have to start over.
- Offers real dates
Two or three of the new times that fit the size of their piece. A half sleeve is offered full-day sittings, a small piece a short slot.
- Holds it with a deposit
Texts the deposit link and holds the date for the window you set. Unpaid holds go back to the next person on the list.
- Keeps the line moving
No answer gets a short voicemail and a text, then the next caller is tried. Someone who's gone elsewhere is taken off the list kindly.
- Tells the artist where it stands
Which dates filled, which are held waiting on a deposit, and who wants to stay on the list for next time.
Example call
- AI agentHi Jordan, it's Emma from Black Spruce Tattoo. Got a minute? Marcus just opened his books, and you've been on his list since August.
- CustomerOh, finally! Yes.
- AI agentYou'd talked about a traditional panther on your upper arm. Is that still the plan?
- CustomerSame idea, yeah.
- AI agentMarcus has Saturday March 7th or Saturday March 21st, both noon start, about four hours. Either work?
- CustomerThe 21st.
- AI agentGreat. I'll text you the 150-dollar deposit link now. It holds the 21st for 48 hours, and it comes off the price of the tattoo.
- CustomerPaying it right now.
After the call: March 21st at noon goes on Marcus's book as Jordan's traditional panther, upper arm, four hours. The deposit came in within ten minutes, and the next person on the list was called for March 7th.
What your team gets
- New dates filled from the waitlist, longest wait first
- Each booking sized to the piece: short slots or full days
- Holds released to the next person when a deposit doesn't come in
- The original idea read back, so nobody re-explains it
- A books-open report for the artist: filled, held, passed
Questions
Does it replace announcing on social media?
No, artists still post. The calls simply give the people who already waited the first chance before the open-books post goes up, if that's how you want it.
What if nobody picks up?
It leaves a short voicemail and a text with the date on offer, waits the time you set, then moves to the next person.
Can it fill a whole day for a big piece?
Yes. It only offers a full-day sitting to someone whose piece needs one, so a small flash piece doesn't take a day meant for a back piece.
