Inbound: the customer calls

Lost and found pets logged and matched

An owner calls at 10 p.m. about a missing beagle. She takes the description, checks the found reports and the animals that came in today, and tells them a beagle was picked up on their street.

When it starts

A caller has lost a pet, or found one and isn't bringing it in yet.

What the agent does

Takes a full description, checks found reports and animals in care, and logs the report.

What your team gets

Clean lost and found reports, likely matches flagged, and photos sent by text on file.

How it works

  1. Takes the description

Species, breed, colour, markings, collar, microchip, where and when they were last seen, in the caller's own words.

  2. Asks for a photo

She texts the caller a number to send a photo to, and it lands with the report.

  3. Checks for a match

Found reports from other callers and animals brought in as strays, by description, area and date.

  4. Shares a likely match

"A beagle was brought in today from your area." She books the owner in to see the animal during your reclaim hours.

  5. Explains a reclaim

What to bring as proof, any reclaim or licence fees from your list, and the hours.

  6. Logs the rest

No match yet? The report stays open, and the owner gets a call if one comes in.

Example call

  1. CustomerOur beagle got out this afternoon. He's called Biscuit. We're on Poplar Avenue in Belleville.
  2. AI agentI'm sorry, that's stressful. Can you tell me what he looks like, and does he have a collar or a microchip?
  3. CustomerBrown, black and white, a red collar but no tag. He is chipped.
  4. AI agentThank you. A beagle with a red collar came in this evening from near Poplar Avenue. Staff will scan his chip, but it sounds very much like Biscuit.
  5. CustomerOh, thank goodness. Can I come get him?
  6. AI agentReclaim hours start at 9 tomorrow morning. Please bring photo ID and anything showing he's yours, like vet records. I'll text you the address and send staff a note that you're coming.

After the call: Staff find a note on the beagle's intake record that his likely owner called and is coming at 9, scan the chip in the morning to confirm, and the lost report closes with the reclaim.

What your team gets

  • Lost and found reports with full descriptions and photos
  • Likely matches against strays in care flagged to staff
  • Reclaim visits booked with what to bring
  • Open reports called when a new match comes in
  • A weekly list of open lost reports by area
Set up with you: The team sets up a connection to your shelter software (Shelterluv, PetPoint, Shelter Manager or RescueGroups) for lost and found reports and intake records, loads your reclaim hours and fees, and sets who reviews likely matches.

Questions

Does she confirm it's their pet?

She shares a likely match. Staff confirm it with the chip, the description and the owner's proof before any animal goes home.

Can people send photos?

Yes. They text a photo to the number she gives, and it's attached to their report.

What about found cats the finder is keeping?

She logs the found report with where the finder lives, so if an owner calls, staff can put them in touch.
